How to apply your activity plan to the schedule

Youโ€™ve made your plan, now itโ€™s time to schedule automatically. When you apply your plan, your rules will be used to generate schedules across the period of your choosing.

Applying a plan

When youโ€™re happy with your activity plan you can add it to the schedule by clicking the 'apply plan' button in the top right of your screen.

  • Any previous activities for surfers in this plan will be removed (this includes manual edits).

  • Activities will be added to the schedule in draft.

  • Activities will be fairly distributed across all your surfers according to your rules.

  • Surfboard will schedule around any synced calendar events. (read more about synced events here)

  • The coverage bar for this activity plan will show at the top of the schedule. (read more about the coverage bar here).

๐Ÿ’ก You need to publish the schedule to share your scheduled activities with your team. Even if you previously published the shifts.

Editing the schedule

Once your activity plan is applied to the schedule, you're free to make manual edits like changing the activity type of length.

Time off and synced events

When your Activity Plan is applied, Surfboard will schedule around any existing synced calendar events or time off in the calendar.

  • If a new event is synced to Surfboard, it will overwrite and replace any previously scheduled activities

  • If an event is removed from Surfboard, it will leave a gap in the schedule. You can either reapply the Activity Plan, or manually fill the gaps.


Viewing multiple plans in the coverage bar

If you've applied more than one activity plan to the same day, for example, one for your frontline team and one for your specialist team, then you'll see the rainbow coverage bar ๐ŸŒˆ

The coverage for any activities that are shared across both plans will be combined to give you a cumulative overview of your coverage.
