TSC - Organisations

An organisation is a company within a supply chain (e.g. manufacturers, distributors, retailers, agents, growers). Details of individual organisations can be added into Telus Supply Chain along with information such as their Global GAP and Sedex number. These can then be linked to form chains, which can in turn be approved and managed.

ADD AN ORGANISATION

Telus Supplier Chain already contains a large amount of organisations. Before creating a new organisation, please check to see if it already exists in the system, by entering the organisation name in the ‘search’ box.

Please do not create an organisation if it already exists in the system. This will cause problems when you create chains with an organisation that has duplicate entries.

Organisations within your supply chains can be created in Telus Supply Chain, during the chain creation process. You can then add people, create tasks and upload files.

To create a new organisation:

  1. Click on Add a new chains in the menu:

  1. Once your product has been selected, type the name of the organisation you want to create in the relevant column. When the system filters available options, scroll to the bottom of the list and select “+ Create a new organisation”:

  1. The following pop-up box will open (complete tab 1 and then press next for tab 2):

  1. Complete the required fields. Fields marked with a red asterisk are mandatory:

    • Organisation name – Enter the name of the organisation here.

    • County/State/Region – Enter the appropriate location.

    • Country – Select the country in which the organisation resides.

    • Category – Tick the relevant category/categories of this organisation (e.g. Distributor or Grower).

    • Code, Global location number, Sedex reference, GGN and Grower Code(s) – Enter if appropriate.

    • Notes – Enter any notes relevant to this organisation.

If you select Co-Operative, Grower or PMO Global as the category, you will be able to enter the organisation’s Global GAP Number and Grower Code. You can select more than one category if required.

  1. Check the details are correct and, if so, press Save.

  2. The organisation will automatically populate in the chain you are creating and will also be visible under Organisations.

Please note: The newly created organisation will now be available for all Telus Supply Chain customers.

WORKING AT ORGANISATION LEVEL

It can be useful to work at individual organisation level if you have multiple organisations within one main organisation, and to see the specific dashboards and growers for specific suppliers.

This gives a menu bar that will only display the files, chains, tasks and products related to the selected organisation/supplier:

  1. To select the individual organisation you can pick the name of the organisation in the drop- down menu in the top left, or start typing the name of the organisation in this bar:

  1. This will display the specific information relevant to this individual organisation, where you can see the chains, products, tasks and files relating to the organisation.

ADD A NEW PERSON TO YOUR ORGANISATION

You may want to add a new person to your organisation to use Telus Supply Chain. To add a new person to your organisation:

  1. From the main screen, , click on Add a New Person from the People menu tab:

  1. The following page will appear:

  1. Select the organisation of the person as your own:

  1. Enter the First name, Last name and Email address of the person.

  1. Choose the User’s role.

  1. Enter their Position, Telephone and Fax numbers.

  1. Tick the Invite user and the Data Sharing box to send an email to the individual inviting them to join Telus Supply Chain.

  1. Click Save at the bottom of the screen to finish.

ASSOCIATE AN EXISTING PERSON TO AN INTERNAL ORGANISATION

If you have internal organisations set up within your system, you can associate users with the required internal organisations (this only applies to your own internal organisations).

  1. Click on Associate People from the People menu:


  1. In the screen that opens, select the organisation that you want this person to be associated with from the drop-down box, and select the person you want to associate:

  2. This will produce a list with the available organisations to associate. Tick the box next to all organisations you wish to associate the person to and click Add Organisation(s):

  1. Click Save to complete.

CHANGING A USER’S ROLE

An administrator can change a user’s role within their own organisation. For example, you may wish to change a user from Read-only to Standard user.

  1. Click on People in the menu:

  2. Find the person in the screen and click Edit:

Tip – You can filter by organisation on the right hand side of the screen to find all users within your organization quickly.

  1. Change the person’s Role to Administrator or Standard:

  2. Click Save at the bottom of the screen.

EDIT AN ORGANISATION

To edit the details of an organisation:

  1. Type the name of the organisation in the search box on the right of the screen and then click on the organisation’s name when it appears:

  1. On the right of the screen click Edit this organisation:

  1. Amend the details as required.

  1. Click Save at the bottom of the screen to save your changes.

Please note: You can amend the details of your own organisation and any organisation in your supply chain if that organisation does not have any active users.

REMOVE AN ORGANISATION FROM YOUR SUPPLY BASE

You may need to ‘remove’ an organisation from your supply base because they no longer supply you. In order to remove an organisation you will need to revoke and then archive the supply chain(s) that link you to that organisation; for more information, see "TSC - Chain Editing, Archiving & Deleting". Archiving the chain will remove the relationship between you and the organisation, so they will no longer appear as your customer/supplier but all records will still be kept in the system for future reference.

Once you revoke and archive supply chains with an organisation, you can restore those supply chains with this organisation in the future if required.
