Quick Summary: The app supports two user types: Client Administrators with full system control, and Restricted Users with limited access based on location visibility. Restricted access affects reporting, policy editing, forecasting, and ordering functions.
User Roles
Client Administrator
Has full access across all locations, settings, user administration, and system functions.
Administrators can:
Access and update configuration settings.
Manage user profiles and permissions.
Run system-level processes such as data refresh.
Access all reporting, dashboards, and policy tools.
Restricted User
A Restricted User can work only in the locations assigned to them, and their capability depends on whether access is full, read-only, or no access. This role prevents users from modifying or viewing data they should not have access to.
Restricted users lose access to the following areas:
Settings: The Settings menu which includes:
Configuration (various global settings)
Classification configuration
Policy defaults
Policy overrides
Region setup
System: The entire System menu which includes:
User Admin (Create or edit user accounts, including resetting a user’s password)
User Logs (user audit logs)
Data quality report
Data refresh (Extract new data from your ERP or reprocess Netstock data)
Suppliers: Ability to edit suppliers
Orders: The “Everyone’s Orders” option in the Saved recommended orders tab
User: Edit their own access level
Feature Behaviour Based on Location Access
Location access assigned | Visibility result |
Access to every location | Full access to the Supplier Performance Feature, Stock Projection Feature, Report Builder, and Advanced Reports. |
Missing access to even one location | The above features are removed unless default location access = Read only or Full. |
No access to a location | The user cannot see any data for that location. |
No full access to any location | The user cannot access the Orders screen. |
Actions Not Allowed at Read-Only Locations
Restricted users lose access to the following functions for read-only locations:
Dashboard: Mute item
Forecasts: Adjust items
Forecasts: Adjust totals
Locations: Edit
Locations: Edit location data
Orders: Create
Orders: Edit or action the order
Orders - Saved Orders: Download or Archive individual orders
Enquiry: Edit stocking indicator
Enquiry: Amend forecast
However, read-only users can add comments and delete their own comments.

Incorrect permissions: Incorrect or outdated permissions may expose sensitive data or prevent the execution of required tasks.
Changing access impacts immediately: Removing or altering location rights updates visibility at once.
No automatic inheritance: Restricted Users do not automatically gain access to new locations.
Most visibility issues: These are usually caused by missing location access rather than a system fault.

Reconfirm permissions after team changes: Role shifts or department changes often require access updates.
Limit admin access: Keep full-administrator rights only with users who actively manage configuration.
Use restriction intentionally: Restricted access is useful to separate responsibility or protect sensitive areas.
