1. Compare Your Event Options
Thalamus offers two event types built to manage a common interview invitation release date, a period where applicants are invited but cannot schedule until a later date you choose.
Closed Events
Viewable to applicants on the calendar, but with 0 spots available so applicants cannot sign up until the event is opened
Waitlists will be disabled while events are closed globally, and will remain disabled until you set your events to open
Can be closed globally, from the Program page, or individually, from the Calendar page
Private/Hidden Events
Not viewable to applicants on the calendar, unless you manually schedule the applicant
A waitlist can be enabled or disabled at any time, but applicants will not be able to schedule onto it until the event is made public
Can only be enabled or disabled individually, by editing each event on the Calendar page
2. Set Up Closed Events
Navigate to the Calendar page
Select Add Event
Enter an Event Title
Set the date and time of the event
Set Private Hidden Event to No
Set Event Status to Closed
Confirm Waitlist Status is set to Disabled (this is the default)
Select Save
Repeat steps 1–8 for each event
Navigate to the Calendar page
Select the event you'd like to edit
Select Edit
Set Private Hidden Event to No
Set Event Status to Closed
Confirm Waitlist Status is set to Disabled (this is the default)
Select Save
Or, close all events at once
Navigate to the Program page
Find the Calendar Settings section
Select Edit
Select Closed under Events Status
Select Save
Navigate to the Email page
Select the Interview Invitation section
Select Create New Template, or edit your existing template
Include the following information:
That applicants can view your interview event dates and details
The date and time your program will open scheduling
Note: We recommend using language such as: "Our program is abiding by specialty guidelines. While you are receiving this invitation to interview through Thalamus, when you arrive on the calendar, you will see our interview dates and details, but they will initially all appear full. We will open scheduling on (enter date and time), and availability will display in real time."

Open Your Calendar for Applicant Scheduling
On the date and time you provided to applicants, follow these steps to allow scheduling:
Navigate to the Program page
Find the Calendar Settings section
Select Edit
Select Open under Events Status
Select Save
Note: Once you save this change, your events will open immediately and applicants will be able to schedule.
3. Set up Private/Hidden Events
Navigate to the Calendar page
Select Add Event
Enter an Event Title
Set the date and time of the event
Set Private/Hidden Event to Yes
Set Events Status to Open
Select Save
Repeat steps 1–8 for each event
Navigate to the Email page
Select the Interview Invitation section
Select Create New Template, or edit your existing template
Include the following information:
That applicants will not see your event dates and details until scheduling opens
The date and time your program will open scheduling
Note: We recommend using language such as: "Our program is abiding by specialty guidelines. While you are receiving this invitation to interview through Thalamus, when you arrive on the calendar, you will see our program in your 'My Programs' box, but you will not see any of our event dates and details. We will open scheduling on (enter date and time), and our program events and availability will display in real time."

Open Your Calendar for Applicant Scheduling
On the date and time you provided to applicants, follow these steps to allow scheduling:
Navigate to the Program page
Find the Calendar Settings section
Select Edit
Select Open under Events Status
Select Save
Note: Once you save this change, the event will be visible to applicants immediately.
