How to log candidate outreach, link it to projects, and keep communication history in one place

Logging Outreach in Thrive

Outreach records capture non-interview communication with candidates — such as emails, phone calls, and InMails — so your team has a clear history of engagement without sharing that detail in the hiring manager view.

When to log outreach

Use outreach when you want to track:

  • Emails or messages sent to a candidate

  • Phone or InMail conversations

  • Follow-ups and responses

Outreaches are internal. They are not shown in the Hiring Manager view, so your team can log search details without exposing them to clients.

Log outreach from a candidate profile

  1. Open the person or candidate profile.

  2. Add a new Outreach (from the outreach / activity options on the profile).

  3. Enter the outreach type, date, and summary as needed.

  4. Save the outreach.

The outreach appears in the candidate’s activity history for your internal team.

Link outreach to one or more projects

When you log outreach from a candidate profile, use the Project field to associate the outreach with the relevant search.

You can add additional projects in that field so a single outreach is tied to more than one project — useful when the same conversation applies across related searches.

This keeps project activity accurate without creating duplicate outreach records.

Outreach and email integrations

What’s hidden from hiring managers

Outreaches are treated as internal recruiter activity. Hiring managers do not see outreach history in the client view. For more on what clients can and cannot see, see

Tips

  • Prefer outreach for communication logs; use notes when you want richer narrative that may later be shared internally or externally.

  • Link outreach to the correct project(s) so project activity and reporting stay complete.

  • Confirm visibility with View as Hiring Manager if you are unsure what clients will see.
