This article will explain how to create group bookings in the admin app and how to avoid conflicts with Google Calendar

Group bookings allow multiple participants to book a service within the same time slot, making it ideal for events or services where more than one person can attend simultaneously. This feature enables businesses to offer flexible booking options, such as workshops or tours, where multiple seats or spaces are available. Customers can reserve their spots in groups, ensuring the service capacity is efficiently utilized.

How to allow group bookings

  1. Go to the Services section.

  2. Select a Service.

  3. Click on the Schedule tab.

  4. Choose an Availability and click Edit.

  5. Look for the Bookings per slot input.

  6. To allow more people to book the same time slot enter a number that is greater than or equal to 2.

  7. Click Save.

  8. To let your customers see on the booking page of a given service how many people can book one slot, go to the Display tab and check the option "Show available

    bookings per slot".

Known Google Calendar issues

Google Calendar tends to interpret bookings as single instances. If your group booking in Timerise has several participants booked for the same slot, Google Calendar may not recognize or correctly update multiple bookings for the same time frame. This may result in the disappearance of available slots from booking pages if the service is hosted by a person who has connected their Google calendar.

Solution

To avoid the above situation, we recommend disabling the option of downloading availability from Google Calendar and leaving the option of adding reservations to Google Calendar enabled. Here's how to do it:

  1. Open the profile menu and choose My account.

  2. Navigate to the Connections tab.

  3. Choose the calendar and deselect the "Get availability and special days from this calendar" option and keep the "Synchronize bookings with this calendar" option selected.
