Control how meetings are shared across your team

Deciding who should have access to each meeting can quickly become complex — especially as your team grows.

With Team Privacy Defaults, you can define sharing rules once and ensure every meeting follows the right level of visibility automatically. This helps your team stay aligned while still protecting sensitive conversations.


Set clear sharing rules for your entire team

Instead of relying on each individual to manage their own sharing settings, you can standardize how recordings are handled across the team.

With Team Privacy Defaults, you can control whether meetings are:

  • Automatically shared with specific teammates or groups

  • Added to your workspace library

  • Kept private by default

These rules are applied automatically to everyone on the team, ensuring consistency without extra effort.


Create granular privacy rules that fit your workflow

You can go beyond basic defaults and define more advanced Recording Privacy Rules based on meeting context.

For example:

  • Meetings with titles like “one-on-one” can be automatically set as private

  • External calls labeled “Demo Call” can be shared more broadly

  • Sensitive meetings (e.g. leadership discussions) can remain restricted

This level of control allows you to balance transparency and privacy — making sure the right people have access to the right conversations.


How to configure Team Privacy Defaults

To set this up for your team:

  1. Go to Your Team > Admin Controls

  2. Open the Recording Settings tab

  3. Find the Default Recording Privacy section

  4. Define your preferred sharing and privacy settings

Once configured, these rules will automatically apply to all team members.


Consistency without compromising privacy

Team Privacy Defaults help you enforce clear sharing standards while still protecting sensitive information when needed — without requiring manual decisions for every meeting.

(Note: Team Settings do not override privacy rules for Team Admins. This ensures an additional layer of privacy for leadership. Team Admins can manage their own settings in Personal Preferences.)
