Orders Hub Overview
See all your orders for customers at a glance! Orders Hub in your Toast POS app consolidates all your orders on a single screen. Read on to learn about the various features and functions designed to help you manage these orders efficiently.
The Five Stages of Orders Hub
Orders Hub allows you to manage your orders by actively updating the status of an order from your POS. The five stages of Orders Hub are:
Needs Approval
Scheduled
Active
Order Ready
Completed

Orders Hub Stages: Needs Approval
Want more control? You can choose to approve online orders before they're sent to your kitchen.
Here's how it works:
Orders needing your okay will appear in the Needs Approval tab, making them easy to find.
Simply tap an order you wish to approve and then tap the Approve button.
Once approved, the order will move:
To the Active tab if it’s an ASAP order (to be prepared right away).
To the Scheduled tab if it’s for a future time. It will become active when it's time to start preparation.
You can use the filter button (circled above) to filter orders by order date, paid status, dining options, and dining behaviors
Orders Hub Stages: Scheduled
In Orders Hub, the Scheduled tab lists all your future orders that have been accepted but are not yet due for the kitchen. This helps you easily see your upcoming orders. Even if your system automatically sends orders for prep, you can choose to start any scheduled order immediately using the Fire Now button.
Otherwise, orders will automatically transfer from the Scheduled to the Active tab when it's time to prepare them, based on your kitchen's prep settings and the requested fulfillment time.
Orders Hub Stages: Active
The Active tab in Orders Hub shows you all current orders that have been sent to your kitchen and are now being prepared. Once an order is ready, you can update its status to Order Ready. This signals that the order is complete and waiting to be picked up by your guest or to be delivered.
Orders Hub Stages: Order Ready
The Order Ready tab shows you all orders that are fully prepared and waiting for customer pickup or delivery. This helps you quickly see what needs to go out or be placed in your designated pickup area. Once a customer has their order (either picked up or delivered), you can finalize it by selecting the Complete button.
Note: You can only mark an order as Complete if any payment due has been settled.

Note: Orders Hub cannot currently send text messages to the following area codes: 684, 268, 246, 441, 345, 767, 809, 473, 671, 876, 664, 670, 787, 869, 758, 784, 868, and 649
Orders Hub Stages: Completed
The Completed tab in Orders Hub is where you'll find a record of all your orders that have been fully paid and picked up or delivered.
Need to make changes to a completed order?
Use the Reopen button to send it back to the “Active” tab if it needs to be actively worked on again.
Use the Update button to make other adjustments to the order details.
Note: If any update results in a new balance due, the order will automatically move back to the Active tab for payment.
Order Hub: Order Details
Viewing Order Details
From any tab of the Orders Hub, you can tap to select a specific order. This will display the order details on the right-hand side of the screen.
When viewing order details, you will be able to see:
Customer information:
Customer Name
Tab name
Phone number
Address (if available)
Order Information:
Server
Items
Prices
Discounts and Service charges
Tax
Total
Any remaining balance
Order Details Functionality
The order detail window also contains the following functionality:
Print: Allow you to print the takeout/delivery receipt for the order
Update: Takes you to the order screen for the selected order. Changes can then be made to the order, such as adding or removing items, or adding discounts or service charges
Note: Orders Hub now supports making updates to third-party orders. These changes will only be reflected on Toast and not pushed to the third-party provider.
Pay: If the selected order has a balance due, the Pay button will be displayed. This allows you to navigate directly to the payment screen of the order and take payment.
Reopen: The Reopen button is displayed on completed orders. This can be used in the event that the order was marked completed. This returns the order to the Active state.
Orders Hub: Additional Features and Functionality
Sort By
The Sort by button will allow you to determine the sort order of any Orders Hub tab.
The available sort orders are:
Due time - first
Due time - last
Order number - oldest
Order number - newest
Search
The Search button provides a search field where the user can input search criteria to view specific orders or groups of orders.
The following criteria can be used to search for orders:
Order number
Customer name
Customer email address
Customer phone number
Dining option
Manage Online Orders
The Manage Online Orders button allows the user to do the following:
Enable, snooze, or turn off online ordering
Manage throttle time for Takeout orders
Manage throttle time for delivery orders
The throttle time will be added to the set prep or delivery times, which can be viewed at the top of the Orders Hub after reloading the Orders Hub mode.
Note: You will need permission 1.5 Pending Orders Mode to be able to access the Manage Online Orders functionality through Orders Hub. Find information on how to update and change permissions by following this Support Center Article.
+ New Order
The + New Order button allows you to create a new quick order directly from Orders Hub. This is particularly handy for terminals designated for use specifically for dining. This allows you to create and manage your orders while remaining in one mode of the app.
Find Checks and Issue Refunds
The Find checks & Issue Refunds button can be found in the overflow menu and will take you to the advanced check search page. This can be used if you need to view a specific check from a previous day, or a refund on a previous check needs to occur.
