Get Started With the HotelKey Integration

Learn how to set up the HotelKey hotel PMS integration with Toast so guests can charge restaurant meals to their hotel room.

Written by Agent Support Bot

HotelKey is a cloud-based property management system (PMS) for hotels. The HotelKey integration lets hotel guests charge restaurant meals to their room with a Room Charge payment option on the Toast POS.

Before You Begin

Applies to: Toast Web

Permissions needed:

  • 8.4 Manage integrations

What you'll accomplish: Request and add the HotelKey integration, then enable Room Charge so guests can charge meals to their room.

This integration requires a Hotel PMS Integration subscription, which you can purchase on Toast Shop. To learn more about hotel PMS integrations, see Hotel Property Management Systems (PMS) Integrations Overview.

The request must come from your property. Choose the option that fits your situation:

  • If your property already uses HotelKey, contact HotelKey Support and create a ticket.

  • If your property is moving to HotelKey, list Toast as an integration on your Property Information Workbook (PIW).

In Toast Web, navigate to Integrations > Integration management > Browse & purchase integrations.

  1. Enter HotelKey in the Search field.

  2. Select Add Now on the HotelKey tile.

  3. Select the restaurant location or locations you want to connect to your HotelKey account, then select Apply.

Note: If you don't see the HotelKey tile, contact Toast Customer Care.

  1. Review the data scope visibility terms and conditions. For more information, see Toast Partner Integrations Data Scope Visibility Overview.

  2. Select Confirm to accept.

Expected outcome: The HotelKey integration is added to the locations you selected, and HotelKey receives an email with your restaurant GUID.

Configure revenue centers in Toast Web and associate them with all of your devices. Payments fail on devices that don't have a revenue center. For more information, see Create and Assign Revenue Centers.

After HotelKey receives your restaurant GUID, the HotelKey team reviews your outlets and charges. HotelKey then sends you a mapping sheet for configuring your PMS.

Complete the PMS configuration using the mapping sheet.

When your PMS configuration is complete, HotelKey starts the Room Charge enablement process with Toast. HotelKey keeps you on the request so you can follow its progress.

Toast links the Room Charge payment option to the HotelKey PMS tender. For more information on payment options, see Set Up Other Payment Options.

Expected outcome: After Charge to Room is enabled, the HotelKey integration is live for your property.

For any issue unrelated to Toast products (software or hardware) or your network connection, contact HotelKey Support, which is available 24 hours a day, seven days a week.
