Merging Duplicate Golfers on the Master Roster

The Merge Members feature provides a powerful tool for maintaining accurate and up-to-date member data on the Master Roster. You can use the Merge Member feature to identify and merge duplicate golfer records within your Master Roster. This feature is designed to improve data accuracy and streamline member management by eliminating duplicate entries. When merging profiles, the following information will be transferred:

  • Member related fields Email, First Name, Last Name, Handle, Golfer Service Number (e.g. GLID No. for JP), Current H.I.

  • Custom Fields

  • User

  • Member Cards

  • Transaction History

  • Season Points

  • Scoring Averages

  • Membership Programs

In this article, we will discuss creating Merge Rules and merging members. Note: This process is irreversible. Once profiles have been merged, there is no option to recover the merged profile.

Accessing the Merge Members Page:

To access the merge member page, create rules, and merge members, follow these directions:

  1. From the Customer Center, go to Master Roster > View Master Roster.

  2. In the left side menu, click Merge Golfers. From here, you can manage and run existing rules, and create new rules (as shown below).

Creating Merge Rules:

A Merge Rule defines how duplicate golfers are identified by setting one or more criteria. Each criterion can include one or multiple fields:

  • Single-field criteria: Match golfers who share the same value in that field.

  • Multi-field criteria: Match golfers if at least one field in one golfer matches any field in the other golfer’s criterion set. For example, matching "Member Number" and "membernumber" fields, ensure that golfers imported with two different uploads will align as duplicates.

Every criterion in a Matching Rule must be met for golfers to be considered duplicates. Once defined, a Matching Rule can be run to display duplicates, edited to refine its criteria, or deleted if no longer needed.

To create a new Merge Rule, follow these directions:

  1. Click "New Rule" to create a new matching rule (as shown below).

  2. Define a descriptive Name for the rule.

  3. Select the "Keep Golfer" option (e.g., "Keep Oldest," "Keep Newest").

  4. Define Criteria to identify duplicate golfers using one or more attributes:

    1. Single-field criteria (One Attribute): Match golfers based on the same value in a specific field (e.g., First Name).

    2. Multi-field criteria (Multiple Attributes): Match golfers if at least one field in one golfer matches a field in the other golfer's criterion set. (e.g., match the fields "Member Number" and "memberNumber").

  5. Click "Save" to save the new matching rule.

Running a Merge Rule:

Running the Merge Rule leads the user to the Duplicates page, displaying duplicate golfers in pairs. If more than two golfers are duplicates of one another, they appear as multiple pairs, each pairing the same primary golfer (determined by the Keep Golfer option) with one of the other duplicates.

To run the Merge Rule, follow these directions:

  1. From the Customer Center, go to Master Roster > View Master Roster.

  2. In the left side menu, click Merge Golfers.

  3. For the rule you wish to run, click "Run."

  4. A page will be displayed with your duplicates (as shown below). For all duplicates, the profile that will be kept is marked with a checkmark in the first column.

  5. To complete the merge of the duplicates, take one of the following actions:

    1. Merge All: Click "Merge All" to merge all duplicate records found.

    2. Merge: Click "Merge" on specific duplicate records found.

  6. Click "Okay" in the popup, and the profiles will be merged. Note: Merging duplicate golfers transfers data from the duplicate record to the primary one, but only if the primary golfer’s corresponding fields are empty.

Viewing Merge Activity:

Access the Roster Activity Log to view a record of all completed merge operations.

Specific Considerations:

  • Keep Golfer Rule: The default behavior is to "Keep Oldest" (the first created golfer from the original import).

  • Data Transfer:

    • Attributes and Custom Fields from the later-created member are transferred to the primary golfer (except for JGA-specific rules).

    • The original golfer's Member Card is retained.

    • The User record comes from the later-created member.

    • Transferred attributes include Handicap Network ID, Name, Email, Last Name, First Name, and H.I.
