Uploading Master Roster Via Spreadsheet

In this article we will discuss the details in uploading a new master roster via spreadsheet. For instructions on updating a current master roster via spreadsheet, Click Here.

If you are not importing the master roster from another source like GHIN or your club website provider (eg Clubessential, Jonas, MembersFirst) then the recommended (and most efficient) way to upload the master roster is by spreadsheet. Compile a spreadsheet with the player's and their information.

Compiling the Spreadsheet:

Above is an example of a spreadsheet that can be uploaded. Before uploading, these rules must be followed:

  • It must be in XLS format.

  • Spreadsheet must have only one worksheet

  • The first row must have column headings (eg Email, First name, last name)

  • Each row should only have the data for one golfer

  • Last name is a required column

We highly suggest adding:

  • Email: Allows you to email your players through Golf Genius and register them to events and leagues.

  • Handicap Service ID (eg GHIN #, GolfNet #): This allows you to quickly update Handicap Indexes and post scores.

  • Gender: Will provide you with many shortcuts when setting tees, creating divisions, flights, etc.

  • Tee: What tee does each player typically play from? This will allow you to quickly set players off their default tees for all your events and leagues.

  • Other Important Custom Fields: You can add any other important fields like Member Number, Phone Number, Member Type. These may come in handy during your time managing events and leagues.

Uploading the Roster:

To upload the master roster spreadsheet, go to Customer Center > Master Roster > Upload Master Roster from Spreadsheet.

Select the spreadsheet from your computer and import. Before uploading, we may ask you to match some columns. Some columns will automatically be matched to our attributes. For instance, if you titled one column as "First Name", we get smart and assume you mean First Name. However, like in the sequence above, we named a column "First". It is not assumed that "First" is meant to be First Name, so you will have to match the column with the attribute. Any unmatched columns will still be uploaded as custom fields (For more details on dealing with unmatched columns, Click Here). Click on Import and your master roster will be uploaded.

Making Changes via Spreadsheet:

You can also make changes to the master roster via spreadsheet (eg adding new players or changing their names or email address). After the original upload, click on "download roster to spreadsheet", open up the spreadsheet that was just downloaded, make edits, and upload back. Keep in mind that 1) ONLY THE MOST RECENTLY DOWNLOADED SPREADSHEET CAN BE UPLOADED BACK and 2) players cannot be deleted from the master roster by removing them from the spreadsheet
