How do I manage player drop outs when using round robin scheduler?

Q: I had a team drop-out in my Invitational (5 nine-hole matches). I need to replace the canceling team with a new team. How can I do this?

A: There are a few methods that can be used to manage drop-outs:

  • Replacing the team only

  • Replacing the team and re-flighting

The two options will be discussed in further detail below:

Replacing the Team Only:

If there is a new team replacing the canceling team, the easiest way to fix this is by following these directions:

  1. Go to Golfers > Event Roster and select the canceling member.

  2. Remove the canceling member's name and information and replace it with the new member's.

  3. Repeat this step with the second canceling player on the team. Note: Make sure to change the Handicap indexes as well.

  4. If you are not re-flighting, no further steps are necessary. Printed material and leaderboards will update with the new information.

Replacing the Team and Re-flighting:

If you do need to replace a team and re-flight, follow these directions:

  1. Go to Golfers > Event Roster and select the canceling member.

  2. Remove the canceling member's name and information and replace it with the new member's.

  3. Repeat this step with the second canceling player on the team. Note: Make sure to change the Handicap indexes as well.

  4. Go to Golfers > Manage Flights by Team > Re-Fill Flights (as shown below). Your flights will now be re-organized.

  5. Now go to Event > Round Robin Schedule > Recreate/Update.

  6. Follow the steps to recreate the schedule using the current parameters. Click "Yes" when asked to recreate the pairing using the existing course and tee (as shown below).

  7. The new round-robin schedule will be created while retaining all your tees, tee times, and starting holes.
