The Round Robin Scheduler will ensure every team or individual plays a match against every other team or individual. When using the round-robin scheduler, you can create it for two and three-person teams or individuals. Here are a few examples of how the Round Robin Scheduler works:
The "perfect" round-robin schedule would be, for example, if you had 20 teams and a 19-week league schedule. Then, after the 19th week, every team would have played a match against every other team.
But let's say you have 20 players, but only 15 weeks. The Round Robin Scheduler will make sure every player plays a match against 15 different players. There will be no repeat match-ups.
Or, you have 20 teams and 25 weeks. In the first 19 weeks, every team will play against every other team once. Then, in weeks 20-25, teams will play repeat matches against other teams. However, there will be no instances where two teams play against each other 3 times.
Another case might be setting up a Member-Guest Invitational where each team plays five 9-hole matches against the other teams in their flight. To view a step-by-step guide on setting up this type of event, Click Here.
In this article, we discuss how to prepare your event/league to run a round robin, steps to setting up the round robin and managing the round robin.
If you are running a Member-Guest event, you can also check out our Round Robin Member-Guest Guide for step-by-step instructions for this type of event.
Preparing for a Round Robin:
Before you go ahead and use the Round Robin Scheduler, you will need to take care of a couple of things first.
Make sure you have rounds created that do not already have pairings. If you use rounds for your round robin scheduler that already have pairings, the round robin scheduler will override them.
If you do not want to use all the rounds in a league to create the round robin schedule, you will want to create a multi-round series to use for the round robin schedule.
If this is a team event, you will need to ensure you can create teams. If you haven't already, go to the Event/League Profile (Event/League > Event/League Profile > General Settings) and select the option that your league or event uses teams. Then, go to the Golfers Menu > Event/League Divisions/Flights/Teams and create your teams. (Note: You can skip this step if you are not using teams.)
If you want to create the round robin pairings by flighted teams, make sure to create flighted teams by going to Golfers > Event/League Divisions/Flights/Teams. (Skip this step if not using teams)
If this round robin is for three person teams, you will need to set the pairing size to sixsomes. To adjust the pairing size, you will need to go to the Event/League Profile - Rounds & Scheduling (Event/League > Event/League Profile > Rounds & Scheduling) and set the Pairings Size to Sixsomes.
Setting up a Round Robin Schedule:
To set up the round robin scheduler, follow these directions:
Go to the League/Event > Round Robin Schedule > Add New Round Robin Schedule (as shown below).
Select from the following options when creating a round robin schedule:
Select Round Series: If you create the round robin schedule for a league, and you don't wish to count or use all the league rounds when you create the schedule, you may need to create a series. For details on how to create a round series, Click Here. Once that series is created, pick it here.
Teams or Individuals: Is this schedule being created using teams or just individuals? If using teams, select the team list to be used. If you are not using flights, uncheck the option "Use Flight When Creating The Schedule." For more information on creating teams, Click Here.
Assigning Seed Order: How should each individual or team be seeded?
By order of teams: This is their order when viewing your team lists in Manage Divisions/Flights/Teams. There are various options for seeding when creating the flighted teams, and they can be further tweaked from there.
Alpha Order: Teams will be seeded alphabetically by team name.
By Members combined Handicap Index: Seeded by combined Handicap Index of the teammates.
Use Custom Seeding: Our software uses the standard round robin schedule to decide who plays against who and when (e.g., 1st seed plays last seed in the first round, then builds out from there). If you would like to modify the seeding and schedule, you can choose to use custom seeding. For information on custom seeding, Click Here.
The lowest seed will always play in the first match (Flights Only): When creating your schedule and you would like the first seed to be scheduled first in each round, you can select the option to have the lowest seed play in the first match. For example, suppose you create a 9 Hole Round Robin using tee times. In that case, matches are scheduled in an order that will allow one of the teams in the earlier tee time to be matched up against a team in the next tee time in the next round, avoiding teams needing to wait more than one group for their opponent. For more details, Click Here.
Order of Players in Matches: How would you like the players ordered in the pairings? Position on Team? Players will be ordered in the position they are ordered within the team list in Manage Divisions/Flights/Teams. You can go there to re-order them if needed. Or you can order by Handicap Index or alpha.
RR Schedule Consists of: If you have teams of more than 2, but only 2 players on each team play each round, you can select that option here. This option would then be used with Team Captains, as the team captain could determine who is playing each week for a team.
Tee Sheet Organization: How is the tee sheet to be organized? The first option (A&A v B&B) is where two players on a team play in a foursome against two players from another team. The second option (AvB) will organize the pairings into twosomes, typically used in singles match play where twosomes are used. Note: If this is a three player team event and the pairing is set to sixsomes, the first option is A&A&A v B&B&B, where three players on a team play in a sixsome against three players from another team.
After your options are selected, click Next.
Managing Flights: If you create a schedule using flights, you will be asked to select which round each flight is playing. Sometimes, flights will not play during the same round.
You can also re-order how the flights are displayed on the leaderboard and tee sheet by clicking and dragging the elevator bars on the left.
The example below shows the Nicklaus flight is not playing in the 3rd round. Furthermore, we are moving the Nicklaus flight to the bottom, which will move them to the bottom of the leaderboard, reports, and other areas.
When you have finished managing flights, click "Next."
Setting the course/tee and tee time/shotgun: This step will save you a lot of time in the future. You will not have to set course/tee and tee times in "edit pairings" for all the rounds. Simply complete these steps for all rounds right here.
Click "Set Course and Tee" for the round you want to set first. Next, select what flights to set, then the course/tee and tee time/shotgun. When setting the tee for a course, you can use the Custom Field "Tee" to help make setting course and tee in the pairing quicker. For more details, Click Here.
There is also an option to change the flight ordering on the tee sheet for each round. By default, the order stays the same every round (e.g., Flight 1 starts on hole #1 or is the first tee time every round). However, if you'd like to switch it up, you can click and drag the flights up and down.
See the sequence below as three flights are set off the front 9, and the remaining two flights are set off the back 9 for the 1st round.
Note: If you have set up a shotgun priority, that will be considered when B holes are selected for each round.
Once the course/tee is set for all the rounds, click "Continue" and sit back and watch the scheduler go to work. After the scheduler has finished you will see the round-robin summary (Event/League > Round Robin Scheduler > View Schedule), where you can print the summary and tee sheet, if necessary.
If you would like to display the pairing in the portal, you can select "Yes" to display pairing for all rounds, eliminating the need to do it individually for each round (As shown below). If you don't want to display the pairing in the portal at this time, Click "No" and you can later display them in the pairing from the Rounds Menu (Rounds > Show Pairing in Event/League Portal).
Managing Existing Round Robin Schedule:
After the schedule is created, there will be some new options available when you go to the round-robin scheduler, by going to Event/League > Round Robin Scheduler (as shown below):
Recreate/Update: You can recreate or update the schedule here. This is often used if you have any team or flight changes after the original schedule is created. Make your player, team, or flight change, go to this option, follow the flow, and click "Yes" when asked if you would like to reuse your current tee information. All the starting holes, times, and tees will be retained when the scheduler is recreated. For more details on recreating/updating your round-robin schedule, Click Here.
View Schedule: Get a quick view of the schedule. You can view the schedule in a horizontal or vertical view by changing the blue switch at the top.
Print Tee Sheet: A nicely formatted tee sheet will print by flight. Each page shows the players, teams, seeds, and matches. Everything you need appears on one page. For details about configuring this report, Click Here. Note: The tee displayed for the round is the tee played by the majority of players in that round. Players not on the majority tee for the round will have a tee abbreviation next to their name.
Print Summary: Similar to viewing the schedule, but this time you can print it. It gives you a condensed matrix view of the schedule to be printed.
Reorder Flights: If you would like to re-organize the order in which flights are displayed on the leaderboard, tee sheet, and other reports, you can click and drag them using the elevator bars on the left.
Edit Course/Tee: This option will bring you to the Course/Tee setup page, where you can go and change the course, tee, tee times, and starting hole anywhere in the schedule. Make your necessary changes, and do not forget to click "Save Changes and Continue" on the bottom. The schedule will then be recreated.
Delete Round Robin Schedule: Select this option if you'd like to start over again with a clean slate and remove all the pairings from the schedule.
