This process stemmed from our understanding that once an addendum is struck, that is not the end of its lifecycle and that routes change, or you may divest LOCs.
The below screenshots will walk you through the process from initiation to full execution. Each of the below screenshots is clickable and will show you a larger, higher resolution view.
1. Navigate to your Agreement Inventory (filtering by eRoad only) and click the Agreement Actions button to select Amend Addendum. Note the only fully executed, active roads may be amended.
2. Once you have initiated the amendment, you will have a similar workflow to creating and submitting a request with a few nuances.
You will need to define the project details including name, start date and who it will be assigned to. Amendments can also be sent to users that currently don't have account via email. These users will be sent instructions on how to sign up and action the amendment from Tressl.
You will notice that once you begin to go through the workflow, its is nearly identical to a normal request, but with the status being defined as 'Awaiting Amendment'.
Our system will automatically show this as ready for document response, but you can also send for review if needed.
📌Please note: If you are amending an addendum that was loaded as part of a Historical Data Uploadd, you will need to select the template you want the amendment on.
3. When going through the Agreement stepper workflow, you will see the original roads as well as any new roads that you have added.
For the Agreement Rates, Initial Consideration will will be automatically deselected and you are able to check or uncheck any maintenance fees you want to be visible on the amendment as well as any additional fees that needs to be added.
Attachments and field reps will remain consistent with the original addendum.
The agreement number (Master-Addendum number) will be versioned once you have created an amendment.
4. Once it is fully executed, the previous addendum will be marked Superseded, so that you still have visibility.
When you are ready to fully execute the notification will show up in you Inbound screen like anything else that is ready for execution.
