Publish Open shifts

Open shifts appear on a schedule and can be claimed by employees. Its an alternative to the shift being assigned.

What are open shifts

Open shifts are shifts that can appear on every rota. They can be claimed by employees rather than a shift being assigned to an employee. You can select the Job title of the open shift and who you would like the shift to be open to. You can also add the cost of the shift and the quantity.


How to enable open shifts

  1. Go to the General Settings in the configuration (the cog icon in the top right-hand corner).

  2. Head over to the Scheduling & Timesheets section.

  3. Enable Allow Open Shifts.

  4. Click Update to save changes

Once the open shifts feature is enabled, a new row listed "Open Shifts" will appear in every rota. You'll be then able to add open shifts when creating a schedule.

To add open shifts, please follow these steps:

  1. Click on open shifts, and a pop-up will appear.

  2. Add Start and End time, Break, and Hour type.

  3. Select appropriate Job Titles.

  4. Choose the option that works for you.

    • All for rota

    • All for rota and selected job title

    • Selected employees

  5. Enter Cost of Shift for budgeting purposes.

  6. Enter the Quantity of open shifts.

  7. Click Add Open Shift to save the settings.

Add cost to Job Titles

Costs can now be automatically applied to open shifts based on the associated job title

  1. Go to the cog button on the top of the page and click on Job Titles.

  2. Choose a Job Title to edit

  3. Add the cost in the Open Shift Cost block

  4. Click the Update button to save changes


Open shifts are then advertised to the selected employees at the point of publishing a schedule. Shifts will not be sent to an employee who already has a shift scheduled at the time of the open shifts.

Employees receive an email (and push notification if set up)
