Logit system with the Assets module and the Boards module.
Building food assets and monitoring key items, such as prep numbers on the smart board, provides an effective and transparent way to manage stock and streamline food preparation.
1. Create food assets
Create an asset group
Asset Groups are used to organise assets into structured categories, making it easier to manage. They help group related assets based on their purpose, location, or type.
Go to Asset Group in the configure portal.
Click Add Group to create 'Baking Planner' as Classification, and create food type, such as bread and cookies, as Physical under 'Baking Planner'.
⚠️Please note: Once asset groups are created, their type cannot be changed and they cannot be deleted. Additionally, assets cannot be added to asset groups with a Classification type.
Create assets
Assets are items managed within the organisation that workflows can collect data against.
Go to Assets in the configure portal.
Click Add Asset to create food assets.
Select the appropriate asset group.
Enter the food item name in the Name field. You can add multiple assets by entering each item on a new line.
Assign the food asset to the desired location and department.
Set the status of the food asset.
Click Create.
⚠️Please note: Once the type and the department are assigned, they cannot be altered!
2. Add asset properties
Option 1: Apply an asset group template
Templates can be used to share common properties among different asset groups or entities.
Create an asset group template
Head over to Templates that can be found in the configuration (the cog icon in the top right corner).
Click Add Template.
Give your template a name.
Tick the Use in Asset Groups box.
Hit Create.
Head over to the Properties tab.
Select Add Section to create a section to group your questions.
Click on Add Property to add questions.
Apply the template to assets
Go to Asset Groups, and click on the physical group (e.g. Bread) which needs a template.
Head over to the Properties tab and click Add Section.
Give the section a name, select the suitable template, and click Create.
Once applied, the template will be linked to the associated assets, allowing the user to add the relevant information accordingly.
Option 2: Add asset properties directly
Go to Asset Groups, and click on the physical group (e.g. Bread).
Head over to the Properties tab.
Select Add Section to create a section to group your questions.
Click on Add Property to add questions.
Once added, the asset properties will be linked to the associated assets, allowing the user to add the relevant information accordingly.
3. Create a smart board
Create a sensor board
Go to Smart Boards and click on the Add Board button.
Set up Basic Settings:
Complete Monitoring Settings:
Select the desired monitored asset group and section.
Choose the desired monitored property (e.g. To be baked).
Select the default background colour.
Assign responsibilities, and click Create:
4. Create a record
Create a form
Go to the Form Library.
Click on the Add Form button.
Complete mandatory fields, including Name, Owner, and Department.
Set form type to Asset.
Select the desired Asset Group (e.g. Baking Planner), Completion Timestamps, and Topics, and then click Create.
Hover over the Questions tab, click Add Section.
Name the section and select Asset Group Properties.
Click Link Property to link the asset properties you want to monitor.
Turn the form into a record
Open the 3-dot menu within the form, and select Record.
Complete the settings, such as owner, department, and completed by.
⚠️Make sure the completed by level aligns with the asset location.
Assign responsibilities, and customise the workflow if applicable. Then click Create.
Link the record to the board
Go back to the sensor board we just created, and scroll down to Workflow.
Choose Pre-Selected and the desired record.
Click Save.
5. Set up colour code
Go to Asset Group and select the monitored asset group (e.g. Baking Planner).
Go to the Properties tab and edit the 'To be baked' question.
Set numerical limits for the items. For example, when the bread count is greater than 15, it will be highlighted in amber. If it falls below 0 or exceeds 20, it will be highlighted in red.
Once the food assets and the board are set up, it will show like this:
