Set up the contractor role
Contractors work with your business on a temporary basis, according to the terms of their contract. Therefore, they should not have access to the configuration or reporting portals, nor should they report to anyone in the organisation.
Go to the configure portal via the 3 dots.
Select Roles in the left-hand side bar.
Click Add Role.
Select Contractor User Only.
Tick Can Access Monitor Portal if they are expected to perform tasks on your Logit. This will make a Monitor Portal tab appear, allowing you to grant them the necessary access.
Click Save.
Currently, contractors can only access the Actions, Calendars, Requests, Contractors and Asset Register modules, based on their assigned role permission.
⚠️Please note
You can only have one contractor role.
Enable a template contractor user
After creating a contractor profile, the system can automatically add a template contractor user when this function is enabled, so you don’t have to repeat the same setup steps each time.
To enable this function, please follow these steps:
Make sure at least one contractor user has been set up.
Go to the Configuration via the cog icon in the top right corner.
Select Organisation Settings and navigate to the Contractors tab.
Tick "Automatically Add Contractor User", and then a Template User box will appear.
Select a template user and click Update.
After that, each time a contractor profile is created, a template contractor user will be automatically added, using the email address and name from the contractor profile.
Attach locations to contractors
Assigning locations to contractors lets you control who can see which contractors, so users only view the ones linked to their locations. Moreover, users can filter contractors by locations in Monitor Portal.
How to enable location attachment
Go to Organisation Settings in the configuration (the cog icon in the top right-hand corner).
Head over to the Contractors tab.
Enable the location attachment and select the desired business entities.
Click Update.
How to attach locations to contractors
Go to the Contractors section in the configure portal.
Select the contractor you want to update.
Hover over the Location tab.
Select Attach Location, choose the relevant location(s) from the list, and click Attach.
Once attached, the contractor will be visible only to users with access to those locations. Meanwhile, a location filter will appear in Monitor Portal.
How to tag contractors
You can now tag contractors to quickly filter and find the right people, while trigger events automatically keep those tags up to date.
How to create tags
Go to Tags in the configuration (the cog icon in the top right-hand corner)
Click on the Add Tag button, name the tag, and select "Enable for Contractors".
Once created, edit the tag and add the values.
How to tag contractors
Go to Configure Portal and select Contractors in the left-hand side bar.
Locate and edit a contractor.
Head over to the Tags section.
Click on the Add Tag button, and select the desired tag and value.
With tags applied, you can quickly filter contractors by tag.
How to keep tags up to date using records
Edit the contractor record and go to the Triggers section.
In this example, we're going to assign tags to contractors based on the response to the contractor review question and remove old tags.
Add the trigger event "On Submitted with Response" and select tag assignment, making sure the tag reflects the selected answer.
Add another trigger event "On Submitted with Response" and select tag removal, so any existing tags are removed when a different answer is submitted.
When contractor review records are added, tags will be automatically updated.
