How to Set Up and Use the EFS, WEX & FleetOne Fuel Card Integration

If you’re a carrier using EFS, WEX, or FleetOne fuel cards, you can now link your account to TruckBase using our EFS integration. Once connected, your fuel transactions will automatically sync into Truckbase—keeping your records up to date without manual uploads.

Step 0: Data sharing preference & login credentials

  1. Login to your EFS or FleetOne portal (please ensure you are the company admin on the account)

  2. Click on "Select program" and select "Data sharing preferences" from dropdown menu

    1. IMPORTANT NOTE: If you do not see "Data sharing preferences" in your dropdown menu, please contact your EFS Account Manager or EFS Customer Service at 888-824-7378 to have it added.

  3. Select "Truckbase Inc" from the Data share partner list, and click "Add"

  4. You should then receive an email from EFS confirming your the data release form has been signed to request WEX Inc. to to share transactional data with Truckbase Inc.

  5. Please wait 24-28 hours to receive another email from EFS sharing your Username and Password in which you will use to connect your fuel account with Truckbase.

Step 1: Connect your fuel account

  1. Go to Settings > Invoicing & Accounting.

  2. Scroll to the bottom until you see the WEX | EFS | FleetOne Fuel Integration section.

  3. Click Connect.

  4. Enter your credentials that EFS email you in Step 0 to link your account.

Once connected, Truckbase will begin syncing fuel card and transaction data from your provider from the time of connection going forward every 15 minutes.

Step 2: Assign fuel cards to drivers and equipment

After linking your EFS account, you'll want to assign fuel cards to specific drivers and trucks so TruckBase can match transactions correctly.

For Drivers:

  1. Go to Drivers and open a driver profile.

  2. Navigate to the Pay Info tab, and click edit.

  3. In the Fuel Card dropdown, select the correct fuel card.

    • You’ll see the last five digits of each card and the provider name for easy identification.

For Equipment:

  1. Go to Equipment and open the equipment profile.

  2. In the General Information section, click edit and select the Fuel Card from the new dropdown field.

Important Rules:

  • A fuel card can only be assigned to one driver or one truck at a time.

  • You can assign a fuel card to both a driver and a truck simultaneously, but not to multiple of either.

Step 3: Fuel transaction syncing

  1. TruckBase automatically syncs fuel transactions every 15 minutes, so your data stays current from the time of connection.

  2. If needed, you can also manually trigger a sync from the Settings > Invoice & Accounting section
