Fuel Transactions

In Truckbase, we allow you to import fuel transactions and track them within the system. This data is included in the analytics and reporting dashboards to track your overall expenses and contributes to the profit and loss report. In the future, these fuel transactions will also be utilized for IFTA (International Fuel Tax Agreement) reports.


Importing Fuel Transactions (Video)

Truckbase currently supports two templates for importing fuel transactions:

  1. Truckbase Standard Template

  2. EFS Transaction Report Template

When to Use Each Template

  • Truckbase Standard Template: Use this template if you are currently tracking your fuel transactions in a fuel card that is not currently supported.

  • EFS Transaction Report Template: Use this template if you are using EFS, FleetOne, or WEX fuel card to track fuel transactions.

Steps to Import Fuel Transactions

  1. Navigate to Fuel Page

    • From the left side navigation menu, click on Fuel

    • This will take you to the Fuel Transaction History table, displaying all your fuel transaction history

  2. Import Fuel Transactions

    • Click the Import button at the top right corner

    • An Import CSV modal will appear

    • From the CSV format dropdown menu, select either Truckbase or EFS


Using the Truckbase Standard Template

  • Download the Template:

    • Select Truckbase from the CSV format dropdown menu

    • Download the Truckbase CSV template to see the required format

  • Populate the Template:

    • Transaction Date

    • Truck (ensure the name matches exactly with what is in Truckbase)

    • Driver (ensure the name matches exactly with what is in Truckbase)

    • State (use state abbreviation only, e.g., CA for California)

    • Item Description

    • Price

    • Quantity

    • Amount

    • Type (enter either “FUEL” or “OTHER”, items such as ‘reefer fuel’ should be categorized as “OTHER”)


Using the EFS Transaction Report Template

  • Preparation:

    • Ensure driver names and truck numbers in your EFS account match exactly with what is in Truckbase

  • Download EFS Transaction Report:

    • Log into your EFS, Fleet One, WEX account

    • Navigate to the top right of the screen, click Program > Reports/Exports

  • Select the Transaction Report

  • Choose the date range and set the “view format type” to CSV

  • Download the report and import it into Truckbase


Handling Import Errors

  • If there are errors during import, an error toast notification will appear

  • An automatic download will provide details of the errors

  • Open the downloaded file to review and correct the errors in your CSV file

  • Update your CSV import based on the identified errors and try importing again
