Truckbase Product Update - 06.19.2025

This release includes some of our most powerful updates to date—bringing major improvements for dispatchers, operations managers, and fleet owners. Highlights include owner-operator settlements, on-time performance dashboard, custom dispatch messaging, commodity database, and tracking of accepted/rejected trips.

1. Owner-Operator Settlements (Video)

Carriers who work with owner-operators—especially those who manage multiple drivers or equipment under one owner-operator company—can now calculate and process settlements at the company level.

How to enable and set up:

  • Go to Settings > Organizations and toggle on Owner-Operators

  • A new Owner-Operators tab will appear in your Companies section

  • From there, you can:

    • Add a new owner-operator company

    • Manage default pay settings in the new Pay tab of each owner-operator profile (e.g. add recurring deductions like insurance, etc.)

Linking drivers to an owner-operator:

  • Go to Teams > Drivers, then edit a driver.

  • Under Type, select Owner-Operator Driver (default is Company Driver).

  • A new field will appear to assign the driver to an owner-operator company.

  • Once linked:

    • The driver inherits the owner-operator’s pay structure.

    • All future trips assigned to this driver will calculate pay for the owner-operator company.

Managing settlements:

  • In the Settlements section, a new Owner-Operators tab has been added.

  • All trips for drivers linked to an owner-operator will roll up into that company’s settlement.

  • You can build and manage settlements at the owner-operator company level.

Important notes:

  • Only % pay is currently supported for owner-operator settlements.

  • If an owner-operator is paid differently (e.g., flat rate or mileage), do not link their drivers via the driver profile. Instead, assign an owner-operator manually on the trip level to include them in the settlement.

2. Custom Dispatch Messages to Drivers (Video)

When you're dispatching a trip—whether from the quick dispatch modal or the trip overlay—you’ll see a new Message field in the Share modal when sending trips to drivers via text.

What’s new:

  • Add a custom message when sending a trip to the driver

  • Share important notes about the load (e.g., "Deliver this one first," or "Call shipper upon arrival")

  • Helps clarify instructions, especially when dispatching multiple trips to the same driver

Note: Keep in mind drivers cannot reply to the dispatch text.

3. Driver Dispatch Acknowledgement (Pro Tier) (Video)

You can now require drivers to confirm receipt or accept/reject trips dispatched to them—giving dispatchers more visibility as two who they need to follow up with if no acknowledgement has come through yet.

How to enable:

  • Go to Settings > App Settings > Drivers

  • Turn on the new Driver Dispatch Acknowledgement setting

  • Choose between:

    • Confirm Receipt – Drivers must acknowledge the trip before seeing any trip details

    • Accept or Reject – Drivers must accept the trip before they can interact with it; rejected trips become inaccessible

Note: You’ll see separate options for Company Drivers and Owner Operator Drivers (if that setting is enabled).

What changes once enabled:

  • A new filter & column called Dispatch Acceptance is now available on the Trips table only (access this through the 3-dots menu to customize your columns)

Tips:

  • Driver accidentally rejected a trip?

    • As a dispatcher or admin, simply un-assign and reassign the trip back to the driver and a new link will be sent to the driver

  • Want an easy way to see reject trips?

    • Create a Saved View filtered by "Dispatch Acceptance = Rejected" to easily monitor rejected trips

Coming Soon: Notifications and alerts when a trip is confirmed, accepted, or rejected by a driver.

4. Commodity Database & Customization (Pro tier) (Video)

Pro users now have access to a Commodity Database and the ability to customize commodity fields on orders and trips—ideal for carriers hauling consistent or specialized equipment.

Key updates:

  • New Commodities tab in App Settings

    • Choose your preferred measurement system (for the commodity table only)

    • Enable additional fields like:

      • Unit Type

      • Dimensions

      • Commodity ID

      • Permit Required

      • Make

      • Model

  • New Commodities Page under Operations

    • Create and manage stored commodities for reuse

    • Filter or search by commodity name or ID

    • From the 3-dot menu on each commodity:

      • View All Orders associated with that commodity

      • Create Order pre-filled with that commodity

      • Edit or Duplicate entries for quicker setup

  • Order creation improvements

    • When creating a new order, use the dropdown to select from your stored commodities

    • Older orders still retain custom commodity entries, but they won’t be added to the database unless saved manually

5. On-time Performance Dashboard (Video)

We’ve launched a brand-new On-time Performance Dashboard that gives dispatch leads, operations managers, and carrier owners visibility into delivery performance inside Truckbase.

What’s new:

  • Active Orders & Trips Running Late: See how many current loads are behind schedule

  • On-Time Delivery Rate: View your % of on-time vs. late deliveries over a given timeframe

  • On-Time Status Column & Filter now available on both the Orders and Trips tables

    • Quickly check if a load is:

      • Currently on time

      • Running late

      • Was delivered late

    • Filter by status to follow up with drivers or monitor trends

Why this matters:
Until now, there wasn’t an easy way to monitor how your team is performing on timely deliveries. This new dashboard changes that. Whether you're overseeing a team of dispatchers or running day-to-day ops, this gives you a critical pulse check on whether loads are being delivered on time—and where intervention may be needed.

6. Auto-Fill Empty Miles for Per Mile Driver Pay (Video)

Tired of manually entering empty miles into driver settlements? We’ve got you covered.

How to enable:

  • Settings > Drivers new called Auto-Fill Empty Miles for Per Mile Driver Pay

What it does:

  • When enabled, any empty miles calculated on a trip will automatically flow into the driver pay if the driver is paid per mile.

  • This saves time and ensures consistency, especially if you pay the same rate for both loaded and empty miles.

Note: If you pay different rates for loaded and empty miles, we recommend using the Other Trip Pay option when editing the driver pay on the trip to manually add the empty miles with a separate rate.

7. Percentage-Based Driver Pay for LTL Trips (Video)

Carriers using the LTL module can now pay drivers based on a percentage of the order total.

How it works:

  • When editing a driver’s pay settings, you’ll now see a new percentage-based option under pay rate type.

  • For trips with multiple orders, the driver will receive a percentage of the total order rates on all trips.

  • If a trip is assigned to team drivers, the total pay will be split evenly.

Other configurations to be aware of:

  • In Settings > General, enable “Calculate percentage-based driver pay off of line haul rate or default service” if you want percentage pay to only apply to the line haul service, not the full order total.

  • Then, under Settings > Invoicing & Accounting, make sure you’ve defined your line haul service so Truckbase knows what service to calculate percentage pay from.
