Managing Brokered Trips and Brokerage Divisions (Pro-tier Feature)

Find out how to enabled divisions, create a brokered order, and generate a rate confirmation.

Truckbase offers advanced features for managing brokered shipments and creating a division for your brokerage company. Here’s how to set up and use these features.


Enabling and Setting Up Divisions

Enable Divisions Setting

  1. Navigate to App Settings

    • Go to Settings from the side navigation menu

    • Click on App Settings

  2. Enable Divisions

    • Click on the Organization tab

    • Enable the Divisions setting

      1. This will allow you to create a new division for your brokerage company and bill directly from that division when invoicing

Note: Enabling and using divisions is a Pro-Tier feature and may incur additional charges.

Create a New Division

  1. Navigate to Companies Page

    • From the side navigation menu, click on Companies

  2. Add a New Division

    • Click on the Divisions tab that appears after enabling the divisions setting

    • Click on the + New Company button

    • In the new company modal, select Division from the drop-down menu

    • Enter the company information for the division you are creating

Set Up Invoice Settings for the Division

  1. Navigate to Invoicing and Accounting Settings

    • Go back to Settings > App Settings

    • Open the Invoicing and Accounting tab

  2. Adjust Division Settings

    • You will see all the divisions you have created

    • Click on the new division you created

    • Adjust the invoicing and accounting settings as needed for this division


Creating and Managing Brokered Trips

Create a Brokered Trip

  1. Start a New Load

    • Click on + New Load from the side navigation menu

  2. Select Division

    • A Division will be available at the top of the new order page

    • Select the brokerage division responsible for this shipment from the drop-down menu

  3. Enable Brokered trip

    • In the Dispatch section, you will see a new toggle called Brokered Trip

    • Enable this toggle if the freight is brokered

  4. Enter Payable amount

    • Once Broker trip is enabled, a Payable amount field will appear in the dispatch section

    • Enter the amount payable to the carrier

  5. Select carrier

    • Make sure the correct carrier is selected for the trip you are brokering out

  6. Create the Order

    • Once all information is entered, click Create order

Generate Rate Confirmation

  1. Open trip details

    • After creating the order, click on the Trip tab to open the trip details overlay

  2. Generate rate confirmation

    • Scroll down to the Generate Documents section

    • Click on Generate next to the Rate Confirmation document option

  3. Preview and Manage Rate Confirmation

    • Click on the generated rate confirmation to preview it

    • Click on the three-dots menu to download, regenerate, or delete the rate confirmation as needed
