Invoicing Updates: Supplementary & Standalone Invoices, Credit Memos & More (demo)

Supplementary & standalone invoices

Not every charge belongs on the original invoice. Some fees and accessorials often come up after delivery (and could be disputed), and some charges aren't tied to a load at all.

  • Bill the agreed linehaul now, and the extras later. Invoice the linehaul as soon as the load delivers, then bill pilots, detention, or other disputed charges on their own supplementary invoice, so they never hold up your initial payment

  • Supplementary invoices are numbered after the order (e.g. 1042-S1) and count toward the order's revenue and margin

  • Standalone invoices bill a customer for something that isn't tied to an order or project, and are reported as Standalone / Other Revenue

  • Supplementary invoices are listed read-only on the order page, so you can see every charge on the load in one place

To enable: turn on Enable supplementary invoicing under Settings > Invoicing, Factoring, & Fuel.

Credit memos

  • Need to issue a credit? Save an invoice with a negative total and it becomes a Credit Memo, on an order, on a project, or on its own

  • Credit memos have their own numbers, print as Credit Memo with a Total Credit, and sync to QuickBooks Online as credit memos, not negative invoices

  • They reduce order and project revenue and the customer's balance

Total revenue & margin

  • The orders table and order footer now show Total revenue: the primary invoice plus any supplementary invoices, minus credit memos

  • Order margin uses Total revenue everywhere, including the Orders CSV export

Customer statements

  • Generate a PDF statement of every unpaid and partially paid invoice for a customer, oldest first, with the total balance due

  • Credit memos reduce the statement total

  • Find it on the customer's profile, under ⋯ > Generate Statement

Choose your invoice date

  • Create Invoice and Edit Invoice now show the Invoice Date, so you can see it and change it

  • Pick Invoice creation date, Order pickup date, Order delivery date, or Custom to enter any date

  • The field shows which setting chose the default date, and nothing changes unless you change it

  • The Due Date recalculates from the customer's payment terms, and both dates sync to QuickBooks Online

Service Groups for multi-division fleets

  • Changing an order's division keeps its quantities, units, rates, and amounts. Nothing is re-rated

  • Link equivalent services across divisions into Service Groups, and Truckbase swaps them automatically when an order changes division

  • If a service has no match in the new division, only that line is cleared, and the order can't be invoiced until you pick one

  • Admins set up Service Groups under Invoices > Services > Cross-Division Mapping. The tab appears for companies with two or more active divisions

Rate item descriptions

  • Add a Description to each order rate item, and show it on the invoice line, the Truckbase invoice PDF, and the QuickBooks Online invoice. Turn it on under Settings > Invoicing, Factoring, & Fuel > Enable order rate descriptions.

  • Changing the service on a rate line now keeps the quantity you entered, unless the new unit calculates it automatically

Configurable Warnings: Custom Rules & Alerts (early access)

Configurable Warnings now go well beyond required fields and documents. Write your own rules, get emailed when they fire, and let an admin approve a legitimate exception without turning a rule off for everyone.

Choose what each warning does

  • Set each built-in warning to Do Nothing, Show Warning, Block Invoicing, or Block Saving, with Restore Defaults at any time

  • When several hard blocks apply, they appear together in one pop-up

Custom rules

  • Build your own rules from order and trip fields, combined with AND/OR, and choose how critical each one is and what it blocks

  • Compare one field to another: for example, flag a load when trip costs exceed order revenue by a set percentage, when order tags don't match the driver's or truck's tags, or when a customer's credit utilization exceeds their credit limit

Email alerts

  • Email select teammates when a warning fires (e.g., configure a rule to email management if an order's margin goes negative).

Admin overrides

  • Admins can Clear a hard block on a single record to let it proceed. The clear is recorded in the activity log and can be undone

To enable: admins can set up rules under Settings > Alert Rules. Some capabilities require Trip Assistant or Premier access. Reach out to support@truckbase.com for a full demo of everything Configurable Warnings can do.

Per Day & Per Diem Night Pay, and Settlement Updates

Two new units are now calculated automatically from trip dates. They answer different questions, so their values won't always match.

Per Day and Per Diem Night units

  • Per Day counts the calendar days a trip touches. It's mainly used for customer billing

  • Per Diem Night counts the unique nights a driver is away during a settlement period. It's mainly used for driver pay

Per Diem Nights on settlements

  • A night counts when a trip runs past midnight in your company's time zone, and each night counts only once per settlement, even when trips overlap

  • Review the nights in the settlement builder, and check or uncheck individual nights. Nights outside the settlement period are flagged

  • Add the Per Diem Nights column to your settlements tables. It's also in the Settlement CSV next to mileage

Clearer settlement totals

  • The settlement builder now breaks out Gross wages, Reimbursement, Deductions, Other pay, and Total pay, with a basic summary or a detailed view

  • The same totals appear as columns on the settlements tables

Loaded and empty mile pay

  • New Per loaded mile and Per empty mile pay units let you pay a loaded-mile bonus or a lower empty-mile rate, alone or alongside your existing per mile rate

To enable: add the Per Day or Per Diem Night unit to a pay type under [confirm settings path], then choose your Per Diem Calculation Basis (scheduled or actual trip dates) under Settings > Settlements > Per Diem Nights.

Timeclock Enhancements (early access)

Hours you bill a customer and hours you pay a driver aren't always the same. The Timeclock can now track them separately.

  • Set Billable Hours and Payable Hours separately on a trip. Payable hours drive driver pay, and billable hours drive hourly customer billing

  • Time Tracking now lives in the Financials section of the sidebar, next to Invoices and Settlements

These Timeclock enhancements are in beta. Please reach out to support@truckbase.com to join early access.

Record Locking: Invoices, Orders & Expenses

Keep billed loads from drifting after the invoice goes out. New Record Locking settings let you lock invoices, orders, and expenses, so the numbers your customer and your accounting system see stay the numbers in Truckbase.

  • Invoice locking: protect an invoice from changes once it's final, while payment status stays up to date

  • Order locking: make an order read-only as soon as its invoice is created

  • Expense locking: lock expenses one at a time, or automatically when the order's invoice is locked

  • Lock records individually, or automatically based on whether an item has been invoiced or synced through the API

  • Optionally manage locking only through your integration, so locks can't be changed by hand

  • Anyone who opens a locked record sees why it's locked

To enable: navigate to Settings > Invoicing, Factoring, & Fuel > Record Locking.

Exchange Rates for Cross-Border Fleets (early access)

If you haul in both the US and Canada, you can now manage exchange rates in Truckbase and see your numbers in one currency, while every original amount stays untouched.

  • Set a base currency (USD or CAD) and monthly exchange rates

  • See converted amounts across load-level profitability, bills, expenses, invoices, and settlements

  • Settle drivers and owner operators in their own currency

Multi-currency support for custom reporting is coming by the end of the year.

Exchange rate management is an early access feature. Please reach out to support@truckbase.com to join early access.

Send dispatches in bulk

  • Select trips and send dispatch texts and emails to drivers and carriers in one step

  • Each driver is dispatched by text or email, based on their communication preferences

  • Review which trips will be sent before you confirm, then see the result for each one

  • Every send is recorded in the trip's dispatch history

Create and send invoices in bulk

  • Select delivered orders and create all of their invoices at once

  • Email invoices to your customers in bulk

Bulk invoice emails don't automatically attach documents like PODs and BOLs yet. Automatic attachments are coming in our next product update.

To use: select rows on the trips or orders table, then open the bulk actions menu.

Bulk dispatch and invoicing are early access features. Please reach out to support@truckbase.com to join early access.

Enhanced Reporting Pipelines

Your Main Dashboard and reports now run on enhanced reporting pipelines.

  • The Main Dashboard and reporting pipelines will be updated automatically

  • Custom report templates fully align with the dashboards, so you can use a standard report as a starting point and build off it in custom reporting

Carrier Vetting with RMIS

Brokerage customers can now connect RMIS as an alternative to MyCarrierPackets, and every carrier profile gets a fuller picture of who you're tendering to.

  • A single Carrier Vetting status shows on the carrier profile, the carriers table, and the carrier dropdown when building an order

  • Insurance shows every coverage the carrier holds, with status, limits, and expiration

  • New Authority and Safety History sections show operating status, safety rating, time with authority, and inspection results

  • Automatically set Do Not Use from the carrier's vetting status, and optionally default new unvetted carriers to Do Not Use

Note: Requires a separate subscription to RMIS (or MCP).

To enable: connect RMIS or MyCarrierPackets under Settings > Brokerage. Only one vetting service can be connected at a time.

Bills Improvements

  • Delete a bill, or change its vendor, as long as it isn't paid, locked, or on a settlement. Changes sync to QuickBooks Online

  • Save a bill with just a vendor and no amounts yet

  • Select bills to export CSV or PDF, update status, sync to QuickBooks, void, or delete in bulk

  • Import and export bills by CSV from the ⋯ menu next to New bill

Tables, Filters & Calendars

  • The All Filters list is now searchable on every table

  • Driver, truck, and trailer filters on Dispatch and Orders show active records by default, with an option to include inactive ones

  • Choose whether the calendar week and the load-building date picker start on Sunday or Monday

  • The order overlay's Trips module now shows each trip's truck and driver

  • Filter the Notifications page by user type and refresh it in place
