Managing Submittal Review Email Notifications

TrunkText can automatically send you an email notification so you stay informed without having to manually check the platform. Notification settings are fully customizable — you can opt into everything, filter by specific criteria, or turn off emails.

Managing Submittal Review Email Notifications

TrunkText can email you when Submittal Reviews are completed. You control which completed reviews trigger a notification through the Email Notifications settings for your Submittal Agent.

Who Can Do This

  • ✅ All roles — every user can manage their own submittal review email notification settings.

How to Access Your Notification Settings

There are two ways to reach the Email Notifications settings:

From the platform: Navigate to the bottom-left menu in TrunkText, select Manage Agents, choose your Submittal Agent, and click Edit. From there, click the Email Notifications tab in the top navigation of the agent editor.

From your inbox: Any Submittal Review email notification includes a Manage Email Notifications link in the footer. Clicking it takes you directly to the notification settings for that agent — no need to navigate through the platform.

Understanding Your Notification Options

Once inside the Email Notifications tab, you'll see three options. Select the one that best fits how you want to stay informed.

Option 1: Email me about all completed Submittal Reviews

This is the broadest setting. When selected, TrunkText will send you an email every time any Submittal Review is completed by the agent — regardless of who the Submittal Manager is, which subcontractor is involved, or what type of submittal it is. This option is best suited for users who need full visibility across all review activity on a project.

Option 2: Customize email notifications

This option gives you granular control over which completed reviews generate a notification. You can enable one or more of the following filters:

Submittal Manager assignment: Receive notifications only for reviews where you are the assigned Submittal Manager. This is the most common customization for users who manage a specific scope of submittals and don't need visibility into reviews outside their purview.

Subcontractor: Receive notifications for reviews assigned to specific subcontractors. After checking this option, use the Select Subcontractors selector to choose which subcontractors apply. This is useful for project managers or coordinators tracking the work of specific trade partners.

Submittal Type: Receive notifications for reviews tied to specific submittal types. Use the Select Submittal Types selector to define which types apply. This works well for specialty reviewers who are only relevant to certain categories of submittals.

These filters stack — you can enable multiple simultaneously. For example, you can configure TrunkText to notify you when you are the Submittal Manager and when the review involves a specific subcontractor, giving you a precise notification scope without inbox overload.

Option 3: Don't send me any email notifications

Select this option to opt out of all email notifications for this agent. You will still have full access to completed reviews inside TrunkText — you simply won't receive email alerts. This is ideal for users who prefer to check the platform directly or rely on other team members to surface relevant activity.

Saving Your Preferences

After selecting your preferred option and configuring any applicable filters, click Update Submittal Agent in the bottom-right corner of the editor to save your changes. If you navigate away without saving, your changes will not be applied.

To confirm your settings were saved, re-open the agent editor and return to the Email Notifications tab — your selections will reflect the most recently saved configuration.

Changing Your Settings Later

Your notification preferences can be updated at any time. The fastest way to do this is directly from your inbox — click the Manage Email Notifications link at the bottom of any Submittal Review email and you'll be taken straight to the settings page. From there, adjust your preferences and click Update Submittal Agent to save.
