Using Trunk Tools for Outlook

How to set up the Trunk Tools add-in for Outlook and use it to draft replies, summarize emails, ask the RFI Agent, and ask questions about attachments.

What is Trunk Tools for Outlook?

Trunk Tools for Outlook puts your project data right next to your email, in a panel inside Outlook. Draft emails and replies, summarize long threads, and ask TrunkText questions about your inbox or your project documentation, without switching to the web app.

The add-in also searches your inbox, calendar, and contacts, and you can upload attachments to ask questions against them alongside your emails and project data.

Note: Nothing is ever sent automatically. Every draft sits in your Outlook drafts folder until you open it, review it, and send it yourself.

Before You Begin

  • You need a Trunk Tools account tied to the same email address as your Outlook account.

  • For access or account help, contact your Trunk Tools representative.

How to Set Up the Add-In

Setup takes about a minute. You add the add-in once from the Outlook Apps menu, then pick a project.

Step 1: Open the Apps Menu

In an open email thread, open the Apps menu in the Outlook toolbar.

Step 2: Select Trunk Tools

Choose Trunk Tools from the app list.

Step 3: Sign In Automatically

You're signed in automatically using the email address tied to your Outlook account. The panel opens beside your inbox.

Step 4: Pick Your Project

Use the project picker at the top of the panel to choose the project you want to reference. Everything you ask is answered from that project's documents and data.

That's it. You're ready to use the add-in.

How to Draft a Reply

Ask the add-in to draft a response to the email you're looking at. It reads the thread, pulls in the right project context, and writes a reply for you to review.

Click Open reply and the draft opens inline in Outlook, ready to review, edit, and send.

Note: Nothing is sent for you. The reply only goes out when you send it yourself.

How to Ask the RFI Agent

Turn an email into an RFI without leaving Outlook. The add-in sends the email to the RFI agent as a submission, and the agent tells you whether an RFI is actually needed.

Step 1: Choose Ask the RFI Agent

On the email you're looking at, choose Ask the RFI Agent. The add-in sends that email to the RFI agent as the submission.

Step 2: Review the Agent's Call

The agent reviews the email and tells you whether an RFI is needed, along with its reasoning.

Step 3: Fill In the RFI Details

When an RFI is needed, the agent drafts it with a destination, subject, and question. Review and fill in the details right in the panel.

Step 4: Send It to Your Project Management Software

When you're ready, send the RFI to your project management software, and the RFI is created there.

Note: You stay in control. The agent proposes; you decide whether to send the RFI. Nothing is created until you send it.

How to Summarize Emails

Summarize a single email or several at once. Select the messages and ask for a summary. TrunkText condenses them into the key points, decisions, and open items.

Ask Across Your Calendar, Email, and Contacts

Ask questions that span your inbox, calendar, contacts, and project data at once. TrunkText pulls them together into a single answer, like whether a meeting was confirmed or an RFI is still open.

Ask About Email Attachments

Upload an email attachment to the conversation and ask questions about it alongside your emails and project data. TrunkText can check a submittal, review a contract, or tell you whether a document already exists in your project and what status it's in.

Choose What's in Context

When you start a new conversation, the email you're viewing is added to context automatically. Deselect it in the panel to ask questions against only your project documentation.
