Autodesk Forma (ACC) & Procore Submittal Workflows

What is this?

TrunkSubmittal is now integrated directly into:

When it's our turn to review a submittal, we automatically run the review and post the response back into your project management system. No need to leave your existing workflow or change how your team operates.

Note: This article covers the optional workflow integration, adding TrunkSubmittal as a reviewer step so responses post back into Procore or Autodesk automatically. You don't need this to use TrunkSubmittal. Submittals uploaded directly to your connected Procore or Autodesk project are reviewed automatically, and you can upload a submittal in the app at any time with the Review submittal button. See the TrunkSubmittal FAQ for those everyday paths.

How it works

When TrunkSubmittal is added as a reviewer step in your Procore or Autodesk Forma submittal workflow, the PMS notifies us when the ball is in our court. We use that as the trigger to run the review. From there, one of two things happens:

  • If it's a submittal type we support and we can match it to a spec section, we run the review and post the response directly back into the workflow as a viewable and downloadable PDF. The submittal then automatically moves to the next step.

  • If it's a submittal type we don't support, we post a message in the workflow letting you know, and automatically move it out of our court so nothing gets blocked.

Every submittal gets a response!

Response scenarios

Scenario

Response in PMS

Reviewed → Compliant

TrunkSubmittal found this compliant. Recommend forwarding to design team. See attached review for details.

Reviewed → Partially Compliant

TrunkSubmittal found this partially compliant. See attached review for details.

Reviewed → Non-Compliant

TrunkSubmittal found this non-compliant. Recommend revise and resubmit. See attached review for details.

Not a reviewable type

Submittal type not supported for automated review.

Error

Automated review could not be completed. Manual action required!

Note: If a review runs out of time, the message reads "Automated review could not be completed within the expected timeframe. Manual action required!"

Timing

By default, Autodesk submittals are checked 5 times a day at fixed times. In Eastern time that's midnight, 9am, noon, 3pm and 6pm in winter, and an hour later in summer, so there may be a lag between when a submittal enters our court and when you see our response. Procore submittals come in a different way. Once ingested, the review itself typically takes about 5 minutes.

We're actively working on reducing this lag — once fully implemented, reviews will move much closer to real-time.

PROCORE

What does it look like in Procore?

While TrunkSubmittal is reviewing, the submittal will show as Pending. Once the review is complete, you'll see an attachment added to the submittal. Click it to download the review PDF. The workflow will automatically advance to the next step.

Note: All reviews are also visible in TrunkSubmittal if you want to reference them there.

How to set it up

There are two things you need to do: add TrunkSubmittal as a step in your submittal workflow, and make sure that workflow is applied to your submittals.

Step 1: Grant TrunkSubmittal Admin permissions on the Submittals module

For TrunkSubmittal to post review responses back into Procore, the TrunkText user must have Admin-level permissions on the Submittals module. Without this, reviews will fail to upload even when the user is correctly assigned to the workflow step.
To configure this, ask your Procore admin to locate the TrunkText user in the project directory and set their Submittals permission level to Admin.

Once that's confirmed, proceed to Step 2.

Step 2: Add TrunkSubmittal to your submittal workflow

You can add TrunkSubmittal as a step in a workflow template, or directly on an individual submittal. Either way works. For general guidance on managing submittal workflows in Procore, refer to Procore's documentation.

When you get to the step where you add a reviewer, here's how to find our user:

  1. Click Select a Person

  2. Type trunktext in the search field

  3. Select the TrunkText user from the results: you may see numbers after the name, that's expected

  4. Save your changes

TrunkSubmittal's response is automatic. We will always respond and move the ball forward.

Step 3: Apply to your submittals

If you're using a workflow template, apply it to new or existing submittals following Procore's guide here. You can also bulk-apply across multiple submittals at once. If you added TrunkSubmittal directly to individual submittals in Step 1, you're already set.

FAQs

Can I use this template across multiple projects?

Workflow templates are project-specific in Procore, but they can be carried over to new projects via a Procore project template. Reach out to your Procore contact to set that up. See Procore's documentation for more details.

What if a review looks wrong?

Please share that feedback directly with your Trunk Tools contact.

Does TrunkSubmittal replace my responsibility for the review?

No. TrunkSubmittal surfaces findings referencing the submittal, spec sections, and closed related RFIs. Your team still owns the final approval.

AUTODESK FORMA

What does it look like in Autodesk?

While TrunkSubmittal is reviewing, the submittal will show the service account step as Pending. Once the review is complete, you'll see a PDF attachment added to the submittal. The workflow will automatically advance to the next reviewer step.

Note: All reviews are also visible in TrunkSubmittal if you want to reference them there.

How to set it up

There are two things you need to do: configure a dedicated Autodesk service account for Trunk, and add that service account as a reviewer step in your submittal workflow.

Prerequisites: Set up an Autodesk Service Account

Before adding TrunkSubmittal to your workflow, you'll need a dedicated Autodesk service account connected to Trunk Tools. This is a standard Autodesk user account tied to a shared company email address — not a personal login.

  1. Get a service-account email provisioned from your IT team (e.g. trunk-integration@yourcompany.com).

  2. Create an Autodesk account at autodesk.com using that email, then log in to Trunk Tools with it.

  3. In Trunk Tools, go to your project's Integrations page, click Add New Integration, and select Autodesk Construction Cloud.

  4. Check "This is a dedicated service account", click Authorize Autodesk, and click Allow.

  5. Select your ACC hub and project, then click Import Project.

For general guidance on creating an Autodesk Account, refer to Autodesk's documentation.

Step 1: Add TrunkSubmittal to your Project

You can add the service account as a reviewer in a workflow template, or directly on an individual submittal. Either way works. For general guidance on managing submittal workflows in Autodesk Forma, refer to Autodesk's documentation.

First, give the service account access to the project and enable the Build product:

  1. In Autodesk, go to Account Admin, select your project, and navigate to Members. Add the service account if it isn't already a member — see Autodesk's guide for adding members.

  2. Click on the service account in the Members list to open its profile panel.

  3. Under Assigned products and permissions, toggle on the Build section to grant access to Autodesk Forma on this project.

Step 2: Add TrunkSubmittal to your Submittal Workflow

  1. Within the project, open Build from the left nav, then click Submittals. Pick an existing submittal or create a new one.

  2. Add a review workflow — either via a workflow template (recommended for reuse) or manually by clicking Add Required Workflow directly on the submittal.

  3. When selecting reviewers, add the service account you created. TrunkSubmittal will automatically run the review and advance the workflow — every submittal gets a response.

FAQs

What exactly is a “service account” in this context?

A service account here is a dedicated Autodesk user tied to a specific email address, created specifically for the integration with Trunk. It is not a special Autodesk system identity or API-only account. It is a regular Autodesk user account that is created using a shared or dedicated company email address.

Why do I need a service account instead of my personal Autodesk login?

Using a dedicated service account ensures the integration stays active even if team members change roles or leave the company. It also avoids triggering actions under a personal user's identity inside Autodesk

Does TrunkSubmittal replace my responsibility for the review?

No. TrunkSubmittal surfaces findings referencing the submittal, spec sections, and related closed RFIs. Your team still owns the final approval.
