TrunkSubmittal FAQ
Answers to the most common questions about TrunkSubmittal, the AI-powered submittal compliance review agent that automatically analyzes incoming submittals by comparing them against the relevant specification sections and any associated RFIs.
How submittals reach TrunkSubmittal:
Uploaded directly to Procore or Autodesk (by a trade partner or your team) — the agent detects the submittal and reviews it automatically. In Procore it picks up any status except Closed or Void; in Autodesk the item needs to be in Manager Review or Under Review.
Received by email or sitting on your computer — upload it into Procore or Autodesk as an open or draft submittal so it syncs automatically, or upload it straight into TrunkSubmittal with the manual upload button for an immediate review (see Q8 and Q9).
Optional: add TrunkSubmittal as a reviewer step in your Procore or Autodesk workflow to have responses posted back into your PMS automatically. This isn't required to use TrunkSubmittal.
1.) What is TrunkSubmittal?
TrunkSubmittal is the first of a suite of agents that detect document discrepancies and streamline compliance across construction workflows. As an AI-powered submittal compliance review agent, TrunkSubmittal is designed to proactively reduce risk and save time in construction workflows. It automatically analyzes incoming submittals by comparing them against the relevant specification sections and any associated RFIs (Requests for Information).
By using natural language processing, TrunkSubmittal analyzes unstructured data (i.e. unformatted text) and:
Flags discrepancies before they escalate into costly rework and delays
Provides a detailed compliance breakdown, evaluating each item in the Submittal as:
Compliant
Partially Compliant
Not Compliant
Surfaces justifications and insights for each evaluation, giving users a clear and traceable rationale behind every compliance analysis
Delivers results automatically with optional email drafts ready to send to subcontractors or architects
2.) What problems does TrunkSubmittal solve?
TrunkSubmittal addresses key pain points in the submittal review process:
Saves 30+ minutes per review by automating comparisons
Reduces human error and oversight in 100+ page documents
Identifies issues before installation
Helps speed up approval for the overwhelming volume of submittals in projects.

4.) How do I access TrunkSubmittal?
If you're one of the assigned users on the project as configured by your admin during setup, TrunkSubmittal will be accessible directly from your left-side menu under the “Agents” section.
As shown in the screenshot:
You’ll see a “Submittal Review” dropdown, where you can expand to access:
“All Submittal Reviews” — a complete list of past submittal analyses and their findings.
A brand new Individual submittal review — when a new submittal is ready for review, a notification icon (red dot) will appear next to it, signaling that a fresh compliance analysis has been generated.
This view keeps you updated with the latest findings and gives you quick access to past and present submittal compliance data.
5.) How does TrunkSubmittal work behind the scenes?
Here’s the step-by-step process:
A new Submittal is submitted (ready to be reviewed) in the Project Management System (Procore or Autodesk Construction Cloud)
The new Submittal is ingested and processed in our system
TrunkSubmittal automatically matches it to its Specification section whether it is linked in Procore/Autodesk or not. If the incorrect Specification section is tagged in the project management system, the agent will identify the correct section with a high level of accuracy
The system scans for related RFIs (if spec section linked in RFI in Procore/Autodesk)
Compliance analysis is run
Discrepancies are flagged with explanations
An in-app notification is sent to the user
A draft email for the subcontractor or architect is available to be generated (depending on the analysis findings)
6.) How is TrunkSubmittal triggered?
There are three stages within the technical journey to trigger a submittal review in Trunk Tools.
Stage 1: The system decides whether to queue the submittal for processing.
The submittal is created or updated in Procore or Autodesk. Our system is notified, and the integration syncs.
The submittal is run through a series of checks to identify if there is a specification section linked to the submittal, and if that spec section contains an uploaded PDF attached to the submittal for review.
Once the system analyzes the attachments, compliance processing begins. The system will move the submittal to stage 2 if either of the following is true:
First-Time Attachments
The submittal didn’t have any attachments before and now it has at least one new attachment (from anyone).
New Attachments from the Submitter
The submittal already had attachments before and the submitter adds at least one new file.
When Processing Does Not Trigger
The system won’t start processing if:
A reviewer (not the submitter) adds new attachments to a submittal that already had files.
The submittal details are updated without any new submitter attachments.
The same attachment is uploaded again (duplicate files).
If none of the trigger conditions are met, the system stops and does not check the submittal again unless it’s updated in the source system.
Stage 2: Our system does its thing on the back end to get the job queue rolling.
Stage 3: Our system determines eligibility of the submittal and publishes it to our system.
After stage 2, we check for the eligibility of the document. The eligibility criteria are as follows:
There must be an active TrunkSubmittal agent on the project
The submittal must be one of the supported types
The status must be one we accept
For Procore, we accept all statuses except “closed” or “void”
For Autodesk, the document state needs to be “manager review” or “under review”
If all criteria are met, the submittal and supporting documents are passed from the TrunkText app to the our AI model for review. At this point, the submittal appears in the All Submittals table with the three dots in-progress status indicator.
7.) What are the current limitations?
The Submittal must be tagged as type of submittal we support (see point #3). If your project does not tag your Submittals as one of the following supported types, please talk to your CSM.
Product Data
Test Reports
Certificates
Operation & Maintenance (O&M) Manuals
Sustainability and LEED
Final Warranty
Sample Warranty
Qualifications
Can currently associate RFIs that are explicitly associated to spec sections in Procore or ACC
Can associate Spec Sections that are explicitly associated to Submittals in Procore or ACC or to intelligently link the appropriate Spec Section when this info is missing in the Submittal.
Reviews individual submittals, not submittal packages.
The agent does not cross-reference against drawings
8.) What happens if my Submittal doesn't have a linked specification?
Currently, those submittals won’t be automatically reviewed by TrunkSubmittal unless the spec connections exist in the structured data.
We offer a feature that allows users to manually trigger a review at any time. All you have to do is select the submittal(s), the spec section(s), and the RFIs and start the trigger. Please see the video here for visual details and instructions.
9.) Can I select my own documents for review?
Yes! You can start a manual review any time by taking the following steps:
Click ‘Review Submittal’ from the ‘All Submittal Reviews’ table
2. Following the next steps to select Submittals, Specs, and RFIs.
3. Dropping or selecting an existing Submittal from your Integration documents, then clicking ‘Select Spec Section’ to select the Specification, and lastly, optionally selecting RFIs.
10.) What happens if my documents are above 200MB?
TrunkSubmittal currently supports PDF documents up to 200MB in size, which should cover the vast majority of Submittals. However, if a document exceeds this limit, it will not be successfully processed by the agent.
11.) Who in the project has access to TrunkSubmittal?
During the initial setup of the TrunkSubmittal agent, the project manager selects which users should have access from a list of all users on the project. This allows the team to control visibility and ensure that only the relevant stakeholders, such as PEs, APMs, or Submittal Managers—receive the compliance analysis.
12.) What is shared with the users who are granted access?
All selected users receive access to the same compliance analysis for each Submittal Analysis. TrunkSubmittal runs a single review, and the resulting findings, including compliant, partially compliant, or non-compliant flags, are shared with each authorized user.
There is no variation in analysis results between users. Everyone sees the same structured output and insights, ensuring consistent understanding and action across the team.
13.) What happens if a user edits and saves the analysis generated by TrunkSubmittal (e.g. the compliance analysis or email)?
Each user has their own version of the artifacts generated by TrunkSubmittal. This includes the compliance analysis results and the draft email.
If a user makes edits or saves changes, those updates are only visible to that individual. The artifacts are not shared or synced across other users on the project.
14.) Are we reviewing the entire spec, or honing in on specific portions like “Part 2?”
We do review the entire specification, but the comparison is intentionally designed to use the submittal as the primary document. Rather than matching every line of the spec against the submittal (which could trigger false negatives), we focus on whether the submittal satisfies the relevant parts of the spec. If something critical is missing or mismatched, that’s when we flag it.
15.) Do we allow for leniency in language (e.g., ASTM references, semantic variance)?
Yes, we’re doing a semantic comparison powered by a Large Language Model (LLM) rather than strict keyword matching. This means that if the submittal uses slightly different wording but captures the same technical intent as the spec, it won’t be flagged unnecessarily.
However, material changes or missing required standards will trigger alerts. We’re aiming for a balance between accuracy and flexibility.
16.) Can the system detect substitution requests and interpret “or equal” language?
Absolutely. The prompting logic we use includes explicit instructions to detect and appropriately interpret substitution requests, including common phrasing like “or equal” products. The system handles these cases with contextual awareness, so the system doesn’t automatically mark them as non-compliant.
17.) Can the compliance reports be downloaded? In what format?
Yes, Compliance reports can be downloaded as a Word document.
18.) What is the turnaround time for TrunkSubmittal to complete a review once a submittal is uploaded?
When a new submittal is created in the source system (e.g., Procore or ACC), our system receives a webhook event with the new submittal and ingests the associated file. We then process the file through our pipeline to prepare it for analysis.
Once the document is fully processed, TrunkSubmittal is triggered and completes its compliance review in approximately 5 minutes.
The ingestion and processing stage can take up to 30 minutes.
19.) Can I update the documents used for an existing review?
Yes, you may select an individual completed review, update the documents, and re-run the review with new documents.
20.) When I click on the submittal, there is an option to distribute. How does this work?
“Distribute” is a function of our custom agents. When a user clicks “distribute” the submittal will be distributed to every user on that project as an artifact. It does not go away and becomes a permanent artifact on the project. Download is primarily used instead of distribute.
