Introduction
The TrunkSubmittal agent automatically extracts submittal requirements from your specification documents and generates a Submittal Register, saving hours of manual work. Instead of reading through hundreds of pages to identify every Product Data, Shop Drawing, Sample, and other submittal requirements, the agent does it for you in minutes.
Key Benefits:
Save 8+ hours per project on manual register creation
Publish directly to Autodesk Build without re-entering data
Review submittals alongside highlighted spec sections for easy validation
Manage multiple spec versions and see changes over time
You're using the Alpha version of the Submittal Register. Here's what that means:
What's included in Alpha:
Extraction of all submittal requirements from Part I – Submittals sections
Submittals that are clearly stated (e.g., "Submit product data for...", "Provide shop drawings for...")
Full review, editing, and publishing workflow to Autodesk Build
What's coming in Beta (Version II):
Ability to capture submittals tied to specific products, material, systems, and components listed in Part 2 – Products
Enhanced requirement detection based on product specifications
We're iterating quickly based on customer feedback. If you notice missing submittals or have suggestions, please let us know!
Prerequisites
Before you can use the Submittal Register with Autodesk Build, ensure the following requirements are met:
Autodesk Build Requirements
Submittals Module Enabled: Your Autodesk Build project must have the Submittals module activated. Check by navigating to your project and looking for "Submittals" in the left navigation.
Submittal Manager Role: You must have the Submittal Manager role in your Autodesk Build project. This permission allows you to create submittal items via the API.
Draft State Available: The "draft" state must be enabled in your project's submittal workflow. Trunk Tools creates submittals in draft status.
How to Verify Your Autodesk Build Permissions
Log into Autodesk Build and navigate to your project
Go to Settings → Submittals → Permissions
Confirm your name appears in the Submittal Managers list
If not listed, ask your project admin to add you as a Submittal Manager
Trunk Tools Requirements
Connected Project: Your TrunkText project must be connected to your Autodesk Build project
PDF Specification Documents: Your spec book must be in PDF format, following CSI MasterFormat structure
Autodesk Authentication: When you first publish submittals, TrunkText will prompt you to authenticate with Autodesk Build (one-time setup)
Getting Started: Creating Your First Register
Creating a submittal register involves a guided setup wizard that walks you through seven steps. This ensures your register is properly configured before AI extraction begins.
Accessing the Submittal Register
From your TrunkText project, click TrunkSubmittal and find Submittal Register in the left navigation
If this is your first register:
You'll be taken directly into the setup wizard
If your project has multiple integrations, you'll start at Step 1: Select Integration
If your project has only one integration, that step is skipped and you'll start at Step 2: Version (naming your register)
If a register already exists for this project:
You'll be taken to the existing register
Click + New Register to create an additional register

Setup Wizard Overview
The setup wizard includes the following steps:
Step | Description |
1. Select Integration | Choose which Autodesk Build project to connect this register to |
2. Version | Name this version of your register (e.g., "Version 1" or "Initial Issue") |
3. Configure Titles | Define how submittal titles should be formatted (components and separators) |
4. Submittal Types | Map TrunkText's submittal types to your Autodesk Build submittal types - this step is extremely important |
5. Submittal Managers | Assign who will manage submittals (one global manager or by CSI division) - this step is required by Autodesk* |
6. Upload Spec Book | Upload your specification PDF or select from existing project documents |
7. Generate | The agent processes your specs and extracts all submittal requirements |
Setup Wizard: Step-by-Step
Step 1: Select Integration
If your Trunk Tools project is connected to multiple Autodesk Build instances, select which one this register should publish to. Each register can only be connected to one integration.
Step 2: Version
Give this Register version a name. When you upload a new spec book version later, you'll be able to compare changes between versions.
Step 3: Configure Titles
Define how your submittal titles should be formatted. This ensures consistency across all extracted submittals and matches your project standards.
Available title components:
Spec Section Number – e.g., "03 30 00"
Spec Section Title – e.g., "Cast-in-Place Concrete"
Submittal Type – e.g., "Product Data", "Shop Drawings"
Sequential Number – Auto-incrementing number
Custom Prefix/Suffix – Your own text
Example: "03 30 00 - Cast-in-Place Concrete - Shop Drawings" using Spec Number + Spec Title + Type with dash separators.
Step 4: Submittal Types & Autodesk Mapping
Map the submittal types that Trunk Tools extracts to the item types available in your Autodesk Build project. This ensures submittals are created with valid types in Autodesk.
Why mapping matters: Autodesk Build projects may have different submittal types configured. For example, Trunk Tools might extract "Sample" but your Autodesk project uses "Samples" (plural). Mapping ensures compatibility. If no mapping is done, Autodesk generating submittals for the unmapped types might fail.
Standard types include:
Submittal Type | Submittal Category |
Admin | Information |
As-builts | Closeout |
Attic Stock | Closeout |
Calculations | Action |
Certificates | Information |
Generic | Information |
LEED | Information |
Mock up | Action |
MSDS | Information |
Operation & Maintenance (O&M) Manuals | Closeout |
Owner Training | Closeout |
Product Data | Action |
Qualification | Information |
Safety | Information |
Sample | Action |
Shop Drawings | Action |
Test Report | Information |
Sample Warranty | Information |
Final Warranty | Closeout |
Others | Information |
Step 5: Submittal Managers
Assign who will manage the submittals in Autodesk Build. You have two options:
Option A: Global Manager (Recommended for smaller projects)
Assign one person to manage all submittals regardless of spec section. This is the simplest option and works well when one Project Engineer handles all submittals. A list of Submittal Managers from your Autodesk project will load and you need to select one.
Option B: By CSI Division (For larger projects)
Assign different managers to different CSI divisions. For example, your Concrete Manager handles Division 03, your Masonry Manager handles Division 04, etc.
Note: The managers you select must already be Submittal Managers in your Autodesk Build project.
Step 6: Upload Spec Book
Upload your specification document. You can either:
Drag and drop a PDF file into the upload zone
Browse to select a file from your computer
Select from existing documents already uploaded to your TrunkText project
File requirements:
PDF format only
CSI MasterFormat structure (standard spec book format)
Not password-protected
Not corrupted or damaged
Step 7: Generate Submittals
Click Generate Submittals to start the AI extraction process. Trunk Tools will:
Parse your spec book and identify all CSI sections
Extract submittal requirements (clearly stated submittal requirements)
Generate your complete submittal register
Processing time: Typically 3-6 minutes depending on spec book size. As soon as the first batch of submittals are processed, you will be taken to to the Submittal Register table and new submittals will continue streaming until the extraction process is complete.
Working with the Submittal Register Table
Once generation is complete, you'll see your submittal register in a table format. This is your workspace for reviewing, editing, and managing extracted submittals before publishing to Autodesk Build.

Providing Feedback
Your feedback helps us improve our AI extraction accuracy. You can provide feedback at two levels:
1.) Row-Level Feedback (Thumbs Up / Thumbs Down)
Each submittal row has thumbs up and thumbs down icons on the right side. Use these to tell us:
Thumbs Up: This submittal was correctly extracted and looks good.
Thumbs Down: Something is wrong
This feedback helps train our TrunkSubmittal agent to be more accurate over time.
2.) Global Feedback (Share Feedback Button)
Click the Share Feedback button in the top-right corner to provide overall feedback about:
Your experience with the Submittal Register
Missing submittals you expected to see

Publishing to Autodesk Build
The most powerful feature of the Submittal Register is the ability to publish directly to Autodesk Build, creating submittal items without manual data entry.
Before You Publish
Ensure the following before publishing:
All submittals have required fields: Title, Type, Category
Type mappings are configured: Each type maps to a valid Autodesk Build item type
Manager is assigned: Either global or by division
You have Submittal Manager permissions: In the target Autodesk Build project
Publishing Workflow
Select the submittals you want to publish (or select all)
Click Publish to Autodesk
If this is your first time, you'll be prompted to authenticate with Autodesk Build
The TrunkSubmittal agent validates all fields and checks for missing spec sections
Submittals are created in Autodesk Build in "draft" status
You'll see real-time progress as each submittal is created
Automatic Spec Section Creation
If a spec section doesn't exist in your Autodesk Build project, Trunk Tools will prompt you to create it before publishing the submittal. This ensures all submittals are properly linked to their source specifications. This is an Autodesk requirement.
Understanding Publish Status
After publishing, each submittal shows one of three statuses:
Not Exported: Not yet published to Autodesk Build
Exported: Successfully created in Autodesk Build
Export Failed: Something went wrong – see Troubleshooting section
NOTE: If a submittal references a spec section that has not yet been created in Autodesk, that spec section will appear with a red outline. The red outline indicates that no corresponding spec section currently exists in Autodesk.
Version Management
As your project progresses, you'll receive updated specification books. The Submittal Register supports multiple versions so you can track changes over time.
Uploading a New Version
Click + New Register from the Submittals Page in your existing Register
Upload the updated spec book PDF
Give the new version a name
The TrunkSubmittal agent processes the new specs and generates a new register version
Version Dropdown
Use the version dropdown in the header to switch between register versions. Each version maintains its own set of submittals and publish status.
Troubleshooting
Common Issues and Solutions
Issue | Solution |
"User does not have permission to create submittal items" | Ask your Autodesk Build project admin to assign you the Submittal Manager role in Settings → Submittals → Permissions |
Publish fails with "401 Unauthorized" | Your Autodesk authentication has expired. Sign out and sign back in to re-authenticate. |
"Item type not found" error | The submittal type mapping points to a type that doesn't exist in Autodesk Build. Update your type mappings or add the custom type in Autodesk Build first. |
"Spec section not found" (persistent) | Auto-creation of the spec section failed. Manually create the spec section in Autodesk Build, then retry the export. |
Export stuck at "Creating" status | The system is still processing. Wait a few minutes. If it persists beyond 10 minutes, contact support. |
Some submittals succeeded, others failed | This is normal – TrunkText creates what it can. Check the "Export Failed" items for specific error messages, fix the issues, and re-export just the failed items. |
