Getting Started with TrunkRFI
Welcome. This guide covers everything you need to get up and running with TrunkRFI: what it does, what it doesn't do yet, and how to configure it for your projects.
What is the Prevent RFIs + Draft Agent?
The Prevent RFIs + Draft is an agent that helps your team figure out if an RFI is actually needed, and if it is, helps you get it out the door faster. When a question comes in, TrunkRFI searches your project documents: specs, drawings, submittals, addenda, past RFIs, etc.., and gives you one of two outcomes:
Answer found: The question is already addressed in your project documents or a similar RFI has already been submitted and answered. TrunkRFI surfaces the existing RFI or the documents that respond to the RFI and you can close or void the draft RFI directly from TrunkRFI. No need to go back to Procore or Autodesk Forma.
No answer found: The RFI seems to be needed. TrunkRFI drafts it for you and writes it back to your Procore or Autodesk Forma, so you can review and submit.
Two Ways to Use This Agent
1. Ask a question directly
Go to TrunkRFI and type your question in the "Do I need an RFI?" box. The agent runs immediately and shows you its findings.
This is the best starting point when a subcontractor flags a question or conflict and you want to check the docs before creating an RFI.
2. Automatic analysis from a draft RFI (built for projects that enable subcontractors to draft RFIs in Procore and Autodesk)
If your project enables subcontractors to create a draft RFI in Procore or ACC, TrunkRFI picks it up automatically and runs its analysis. You'll receive an email notification if we find the RFI unnecessary as soon as the results are ready.
The email includes the RFI title, a summary of what was found, and a link to view the full analysis in TrunkRFI. You don't need to do anything to trigger this: it runs in the background as soon as a draft RFI is created in your PMS.
Which trigger should I use? Both triggers run the same analysis. The difference is just where you start. User-initiated is best when you have a question and want to check before creating an RFI in your PMS. The auto-trigger is best for catching RFIs that were already drafted in Procore or Autodesk Forma by your subcontractors.
Understanding the Agent's Home Page
The TrunkRFI home page has two sections below the question box.
RFIs that may already be answered
This table shows draft RFIs from your PMS where the agent found a potential answer in your project documents. These are RFIs that may not need to be sent.
Each row is an RFI the agent has flagged for your review. Click the arrow to open the full analysis, review the supporting evidence, and decide if you want to close or void the RFI, or keep it open if you disagree with the finding.
History
This table shows all previously reviewed RFIs and questions: both ones you asked directly in the question box and ones that came through automatically from your PMS. It's your running record of everything TrunkRFI has analyzed on this project.
Use it to look up past analyses, share findings with your team, or confirm what the agent reviewed before a decision was made.
What This Agent Doesn't Do
Here's what's outside scope for this release:
RFI response impact analysis: we are currently working on an RFI Impact agent.
Subcontractor self-service: Only you have access.
Note: TrunkRFI is AI and can make mistakes. Always verify the agent's findings against the source documents before closing an RFI or making a decision. Your feedback directly improves accuracy. If the agent gets something wrong, please let us know.
Configuring the Agent
TrunkRFI comes pre-configured with sensible defaults, but you can adjust settings at any time. Click Manage Agent in the top-right corner of the TrunkRFI screen to open the Agent Manager.
Agent Info & Settings: Trigger Statuses
This tab controls which RFI statuses automatically trigger the agent to run.
By default, we've set the agent to trigger on Draft RFIs. This is the recommended setting for most teams: it catches questions early, before they're formally submitted.
If you'd like the agent to also run on Open or other statuses, check the relevant boxes for each integration and click Update Agent.
A few things to know:
Trigger statuses are configured per integration. If you have multiple Procore or Autodesk Forma connections on a project, you can set them independently.
If no statuses are checked for an integration, the agent will not run automatically for that integration. You'll see a warning that reads "No analysis will be run on this integration."
Users
The Users tab lets you control who on your team has access to TrunkRFI for this project. Add team members here so they can view analyses, ask questions, and take action on RFIs.
Email Notifications
The Email Notifications tab lets each user choose how they want to be notified when the agent finds something. There are four options:
Email me when potential answers are detected: you'll receive an email any time the agent finds an existing answer for a draft RFI.
Email me about detected potential answers assigned to selected Subcontractors: you'll be notified for RFIs where the selected subcontractors are listed as Subcontractors.
Email me when I am the RFI manager: you'll only be notified for RFIs where you're listed as the responsible manager.
Don't send me email notifications: turns off emails entirely.
