Quote Enquiry

Analyze your quoting activity with detailed product-level breakdowns and flexible filtering.

The Quote Enquiry report provides a comprehensive breakdown of all quotes created in Unleashed, organized by product. This report helps you analyze quoting activity, track quote performance, and review sales opportunities across different time periods, products, and customers.

To open the Quote Enquiry report, navigate to the main menu and select Reports > Sales > Quote Enquiry. Once open, use the Run button to generate the report with your selected filter criteria, and use the Export dropdown to download the report in PDF, CSV, or Excel (XLSX) format.


Filtering the Quote Enquiry

The Quote Enquiry report offers extensive filtering capabilities to help you focus on specific quotes that meet your criteria. Use these filters individually or in combination to narrow down your results.

Quote Enquiry filter

Description

Date From

Set the start date to filter Sales Quotes by the Transaction Date selected.

Date To

Set the end date to filter Sales Quotes by the Transaction Date selected.

Transaction Date

Use the drop-down menu to select one of the following transaction dates to filter the date range by:

  • Quote Date

  • Expiry Date

  • Accept Date

Sales Quote Number

Filter by the Sales Quote's transaction number.

Sales Quote Status

Use the drop-down menu to filter for Sales Quotes by their current status:

  • Draft

  • Pending

  • Accepted

  • Cancelled

  • Deleted

Product Group

Filter for Sales Quotes by the product's assigned Product Group.

Product Code

Filter by a specific product's code.

Product Description

Filter by a specific product's description.

Warehouse

Use the multi-select drop-down menu filter Sales Quotes by the warehouse assigned.

Sales Group

Filter for Sales Quotes based on the Sales Group assigned. When a custom Sales Group Field Label is used, the filter label will show the custom label.

Customer Type

Use the drop-down menu to filter Sales Quotes by the Customer Type assigned to the customer.

Customer Code

Filter Sales Quotes by the customer's code.

Customer Name

Filter Sales Quotes by the customer's name.

Customer Reference

Filter by the Sales Quote's customer reference.

Delivery Address

Filter for Sales Quotes by the Delivery Address selected in the Quote. Only available when a customer code or name is selected.

Sales Person

Use the drop-down menu to filter Sales Quotes by the Sales Person assigned in the Quote.


Understanding the Quote Enquiry

The Quote Enquiry displays key information in an organized grid format, with each row describing a product's line on a Sales Quote, and the grids providing essential quote and product detail.

Quote Enquiry grid column

Description

Quote No.

Displays the Sales Quote's transaction number.

Quote Date

Displays the Sales Quote's Quote Date.

Expiry Date

Displays the Sales Quote's Expiry Date.

Accept Date

Displays the date the Sales Quote was updated to Accepted status.

Warehouse

Displays the warehouse assigned to the Sales Quote.

Customer

Displays the name of the Sales Quote's customer.

Customer Type

Displays the Customer Type assigned to the Sales Quote's customer.

Product

Displays the product's description.

Product Group

Displays the Product Group assigned to the product.

Status

Displays the current status of the Sales Quote.

Quantity

Displays the total number of product units included on the Sales Quote.

Sub Total

Displays the total sale value quoted, calculated as the Quantity x Discount Price.

Product Code

Displays the product's code.

Customer Code

Displays the Sales Quote's customer's code.

Units

Displays the product's base unit of measure.

Sales Groups

Displays the Sales Group assigned to the Sales Quote.

Sales Person

Displays the name and email of the Sales Person assigned to the Sales Quote.

Delivery Method

Displays the Delivery Method assigned to the Sales Quote.

Hidden Columns

Use the Hidden Columns button in the Show Toolbar tab to customize your view by dragging and dropping columns into the grid. Additional available columns include:

Quote Enquiry hidden columns

Description

Bin Location

Displays the product's bin location for the order warehouse.

Contact Email

Displays the Sales Quote's customer's primary contact's email address.

Contact Name

Displays the Sales Quote's customer's primary contact's name.

Contact Phone

Displays the Sales Quote's customer's primary contact's phone number.

Customer Delivery Address Name

Displays the name of the customer's Delivery Address assigned to the Sales Order.

Customer Ref

Displays the Sales Quote's customer reference.

Sales Order Number

Displays the transaction number of the first Sales Order created from the Sales Quote.


Customising your view

Drag any column header into the grey area above the grid to group your data by that field. Add multiple grouping levels and use the +/- icons to expand or collapse sections. This is particularly useful for analyzing data by customer, product group, or period.

Reorder columns by dragging headers, resize columns by dragging borders, and sort data by clicking column headers - first click for descending order, second click for ascending order.

To add a Hidden Column to the Quote Enquiry's grid:

  1. Go to Reports > Sales > Quote Enquiry.

  2. Click Show Toolbar.

  3. Click Hidden Columns.

  4. Drag a column header from the Hidden Columns list and drop it into the grid.

To remove a Hidden Column from the Quote Enquiry's grid:

  1. Go to Reports > Sales > Quote Enquiry.

  2. Click Show Toolbar.

  3. Click Hidden Columns.

  4. Drag a column header from the grid into the Hidden Columns list.

Grid Layouts

After customising your column layout, save it for future use:

  1. Click on the Show Toolbar tab.

  2. Select New.

  3. Enter a unique name for the new layout.

  4. Click Add.

The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.

Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.

Default grid layouts

Initially, whenever you navigate to the Quote Enquiry, the default grid layout "None" will be displayed.

To make one of your custom grid layouts the default view:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Default checkbox.

  4. Click Save.

Share grid layouts

If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:

  1. Click on the Show Toolbar tab.

  2. Select the layout from the Grid Layout drop-down menu

  3. Tick the Shared checkbox.

  4. Click Save.

The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the Quote Enquiry page.

Shared layouts cannot be a default for another user's profile, but they can save the shared layout as a new layout in their own profile, then set that as their default. Any edits you make to your shared layout will not apply to their saved default version.
