Manage Sales Persons
Setting up your sales team in your account is a straightforward process that forms the foundation for effective sales tracking and commission management. Your sales persons are the core of your sales operations, and proper setup and maintenance ensure accurate attribution of orders, streamlined reporting, and efficient team management.
The system requires each salesperson to have a unique identity with their full name and email address. Once created, these records become permanent parts of your system for audit and historical reporting purposes. This means that while you can update information and mark people as inactive, the system maintains data integrity by preserving all sales associations over time.
Add a Sales Person
To create a new Sales Person:
From the main menu, go to Settings > System > Sales Persons.
Enter the person's name.
Provide an email address for the person.
Click Add.
Once created, your new Sales Person will immediately become available for assignment to customers, Quotes and Sales Orders.
Edit a Sales Person
Once created, salesperson details can be updated at any time. Changes automatically apply to all existing customer records, Quotes and Sales Orders.
To edit a Sales Person:
Go to Settings > System > Sales Persons.
Click directly on the sales person's name or email field to make it editable.
Make your changes.
Click away from the Sales Person.
Obsolete a Sales Person
When a salesperson leaves your team, for auditing purposes, you cannot delete them, but you can obsolete them to prevent future assignments.
To obsolete a Sales Person:
Navigate to Settings > System > Sales Persons.
Tick the Obsolete checkbox next to the salesperson's name.
Obsoleting removes them from future selection lists but preserves their association with existing sales orders for accurate reporting.
Using Sales Persons
Once your sales team is set up in the Sales Persons page, you can leverage these records to automate workflows and ensure accurate sales reporting. By establishing smart defaults, you reduce manual data entry while preserving the ability to make adjustments when needed. This approach ensures that routine orders are automatically assigned to the correct salesperson, while special circumstances or territory changes can be handled with simple overrides.
To assign a default Sales Person to a customer:
Open the customer's record.
In the Details tab, use the "Sales Person" drop-down menu to select a Sales Person.
Click Save.
For multiple customers, use the Import Customers template to efficiently assign default Sales Persons to many customers simultaneously.
Every Sales Order includes a Sales Person field where you can assign or modify the person as needed. This gives you complete flexibility to override customer defaults when circumstances require different categorization. You can even update the Sales Person after an order is completed, ensuring your reporting remains accurate as your business needs evolve.
Reporting on Sales Persons
The following core reports allow you to filter by Sales Person, providing comprehensive reporting capabilities to analyze sales person performance across multiple areas and calculate individual or team commissions:
Margin Enquiry: Analyze profitability by sales person.
Quote Enquiry: Track quote-to-sale conversion rates.
Sales Enquiry: Review overall sales performance.
Invoice Enquiry: Monitor invoicing patterns.
Credit Enquiry: Track returns and credits.
