Sales Groups (also called Sales Order Groups) are a powerful feature in that help you categorize and organize your Sales Orders for better reporting and analysis. Think of them as custom labels that provide additional context to your sales data, making it easier to track performance across different channels, brands, or business segments.
Common uses for Sales Groups include:
Sales channel tracking: Distinguish between ecommerce, wholesale, retail POS, or website sales.
Store or location segmentation: Monitor performance across multiple physical or virtual locations.

Manage Sales Groups
The Sales Groups you create and manage will be assigned to customers and Sales Orders in a field that's labelled, by default, as "Sales Order Group". However, you can change this default label to suit your business's needs, making it more relevant to the Sales Group detail you're collecting per sale.
To customise the Sales Group label:
From the main menu, go to Settings > System > Sales Groups.
In the "Sales Group Field Label" field, enter your preferred label name.
Click Update.
The "Sales Group" field in customers, Quotes, Sales Orders, and any reports (not including BI Vision) that include a Sales Group filter will update to show your account's custom Sales Group label.
Add a Sales Group
To create a Sales Group:
From the main menu, go to Settings > System > Sales Groups.
In the "Sales Group Name" field, enter the group's name.
Click Add.
The Sales Group will then be available to assign in customers, Quotes and Sales Orders.
Edit a Sales Group
To create a Sales Group:
From the main menu, go to Settings > System > Sales Groups.
Click on the group's name and edit accordingly.
Click away from the Sales Group's name.
Any name changes automatically update across all existing Sales Orders and customer records that use that group, to ensure consistency in data and reporting.
Obsolete a Sales Group
When a Sales Group is no longer required, but has been assigned to current or completed transactions, it can be made obsolete.
To obsolete a Sales Group:
From the main menu, go to Settings > System > Sales Groups.
Along the Sales Group's row, tick the Obsolete checkbox.
The Sales Group will not be available to assign to customers, Quotes, or Sales Orders, but will remain on transactions already assigned for reporting purposes.
Delete a Sales Group
When a Sales Group is not assigned to a customer, Quote, or Sales Order, and is not expected to be used in the future, it can be deleted.
To delete a Sales Group:
From the main menu, go to Settings > System > Sales Groups.
Along the Sales Group's row, click on the bin icon.
When a bin icon is not displayed along a Sales Group, it means it is currently assigned to a customer, Quote, or Sales Order and cannot be deleted; use the Obsolete option instead.
Using Sales Groups
One of the most efficient ways to use Sales Groups is by setting defaults at the customer level. When you assign a Sales Group to a customer record, all future sales orders created in your account for that customer will automatically inherit that group. This automation helps ensure consistent categorization without manual intervention for each order.
To assign a default Sales Group for a customer:
Open the customer's record.
In the Details tab, use the "Sales Group" (or custom labelled) drop-down menu to select a Sales Group.
Click Save.
π Note: Sales Orders imported via CSV or third-party integrations (API) require the Sales Group to be explicitly included in the import data.
For multiple customers, use the Import Customers template to efficiently assign default Sales Groups to many customers simultaneously.
Every Sales Order includes a Sales Group field where you can assign or modify the group as needed. This gives you complete flexibility to override customer defaults when circumstances require different categorization. You can even update the Sales Group after an order is completed, ensuring your reporting remains accurate as your business needs evolve.
