The Sales Enquiry is a powerful reporting tool that provides detailed insights into your sales orders, helping you analyze performance, track customer trends, and make informed business decisions.
To open the Sales Enquiry report, navigate to the main menu and select Reports > Sales > Sales Enquiry. Once open, use the Run button to generate the report with your selected filter criteria, and use the Export dropdown to download the report in PDF, CSV, or Excel (XLSX) format.

Filtering the Sales Enquiry
The Sales Enquiry filters are designed to help you extract specific insights from your sales data. Each filter serves different business purposes, from operational efficiency to strategic planning. Use these filters individually or in combination to create targeted reports that answer your specific business questions.
Sales Enquiry filter | Description |
Date From | Set the start date to filter Sales Orders by the Transaction Date selected. |
Date To | Set the end date to filter Sales Orders by the Transaction Date selected. |
Transaction Date | Use the drop-down menu to select one of the following transaction dates to filter the date range by:

Sales Order Status | Use the drop-down menu to filter for Sales Orders by their current status

Product Group | Filter for Sales Orders by the product's assigned Product Group. |
Product Brand | Filter for Sales Orders by the product's assigned Product Brand. |

Warehouse | Use the multi-select drop-down menu filter Sales Orders by the warehouse assigned. |
Sales Group | Filter for Sales Orders based on the Sales Group assigned. When a custom Sales Group Field Label is used, the filter label will show the custom label. |
Customer Type | Use the drop-down menu to filter Sales Orders by the Customer Type assigned to the customer. |
Customer Code | Filter Sales Orders by the customer's code. |
Customer Name | Filter Sales Orders by the customer's name. |

Understanding the Sales Enquiry
Once you've run your Sales Enquiry report, the results grid becomes your command center for sales analysis, breaking each Sales Order down to its individual product Sales Order lines. The grid is designed to provide both high-level insights at a glance and deep-dive capabilities through clickable links. You can customize the view to match your specific role and responsibilities, whether you're focused on operations, customer service, or strategic planning.
Sales Enquiry grid columns | Description |
Order No. | Displays the Sales Order's transaction number. |
Order Date | Displays the Sales Order's Order Date. |
Required Date | Displays the Sales Order's Required Date. |
Completed Date | Displays the date the Sales Order was updated to Completed status, when the Sales Order is open the field will be blank. |
Warehouse | Displays the name of the Order Warehouse assigned to the Sales Order. |
Customer | Displays the name of the Sales Order's customer. |
Customer Type | Displays the Customer Type assigned to the Sales Order's customer. |
Product | Displays the product's description. |
Product Group | Displays the Product Group the product is assigned. |
Status | Displays the current status of the Sales Order, including custom Sales Order Statuses. |
Quantity | Displays the total number of product units ordered on the Sales Order. |
Sub Total | Displays the total sale value of the product in the Sales Order, excluding tax, calculated as Discount Price x Quantity. |
Hidden Columns
Use the Hidden Columns button in the Show Toolbar tab to customize your view by dragging and dropping columns into the grid. Additional available columns include:

Bin Location | Displays the Order Warehouse's bin location for the product. |
Contact Email | Displays the Sales Order's customer's primary contact's email address. |
Contact Name | Displays the Sales Order's customer's primary contact's name. |
Contact Phone | Displays the Sales Order's customer's primary contact's phone number. |
Customer Code | Displays the Sales Order's customer's unique code. |
Customer Delivery Address Name | Displays the name of the customer Delivery Address that has been assigned to the Sales Order. |
Customer Ref | Displays the Sales Order's Customer Reference. |
Delivery Method | Displays the Delivery Method assigned to the Sales Order. |
Product Brand | Displays the Product Brand assigned to the product. |
Product Code | Displays the product's unique code. |
Product Sub Group | Displays the Product Sub Group assigned to the product. |
Sales Order Group | Displays the Sales Group assigned to the Sales Order. |
Sales Person | Displays the Sales Person assigned to the Sales Order. |
Sales Quote Number | Displays the Quote's transaction number when the Sales Order was created from a Sales Quote. |
Units | Displays the product's base unit of measure. |
Sales Enquiry totals
After the Sales Enquiry has been run and populated results, the following values are displayed at the bottom of the page:
Sales Invoice Line Count: Displays the total number of order lines populated.
Total Sales Invoice Value: Displays the sum total revenue of all order lines populated.
Customising your view
Drag any column header into the grey area above the grid to group your data by that field. Add multiple grouping levels and use the +/- icons to expand or collapse sections. This is particularly useful for analyzing data by customer, product group, or period.
Reorder columns by dragging headers, resize columns by dragging borders, and sort data by clicking column headers - first click for descending order, second click for ascending order.
To add a Hidden Column to the Sales Enquiry's grid:
Go to Reports > Sales > Sales Enquiry.
Click Show Toolbar.
Click Hidden Columns.
Drag a column header from the Hidden Columns list and drop it into the grid.
To remove a Hidden Column from the Sales Enquiry's grid:
Go to Reports > Sales > Sales Enquiry.
Click Show Toolbar.
Click Hidden Columns.
Drag a column header from the grid into the Hidden Columns list.
Grid Layouts
After customising your column layout, save it for future use:
Click on the Show Toolbar tab.
Select New.
Enter a unique name for the new layout.
Click Add.
The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.
Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.
Default grid layouts
Initially, whenever you navigate to the Sales Enquiry, the default grid layout "None" will be displayed.
To make one of your custom grid layouts the default view:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Default checkbox.
Click Save.
Share grid layouts
If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Shared checkbox.
Click Save.
The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the Sales Enquiry page.
Shared layouts cannot be a default for another user's profile, but they can save the shared layout as a new layout in their own profile, then set that as their default. Any edits you make to your shared layout will not apply to their saved default version.
