1. Overview
This chapter assumes legal research, contract review in Word, citation verification, custom agent building, and document storage integration have already been covered. The remaining step is bringing the team on board: inviting colleagues, structuring access, and setting up the shared resources that convert individual adoption into firm-wide standard practice.
2. Inviting Team Members
Go to Settings → Members in the Unplex workspace.
Click Invite Member and enter the colleague's email address.
Assign an account role: Admin for whoever manages the workspace, Member for all other users.
Click Send Invitation. The colleague receives an email with a sign-in link and authenticates via Microsoft or Google SSO; no separate password is required.
Following acceptance, the member is added to relevant projects with the appropriate project role — Editor for active contributors, Viewer for oversight-only access. See Project Roles.
3. Access Structure for a Law Firm
The following pattern is effective for a firm of 5 to 50 people:
Role | Who | Access |
Workspace Owner | Managing partner or IT lead | Full control, billing, settings |
Workspace Admin | Office manager or Unplex champion | User management, workspace configuration |
Member | All lawyers, paralegals, assistants | Full platform access within projects |
One project per practice area or matter type is recommended — for example, M&A, Employment, Real Estate, Litigation — with relevant team members added to each. This keeps document access defined and ensures agents surface only sources relevant to the matter at hand.
4. Shared Resources
Firm knowledge base: the standard clause library, preferred formulations, internal memos, and risk thresholds are uploaded to the workspace. Every agent and research query draws on this as the primary reference layer, ahead of FedLex and BGer — the more that is uploaded, the more Unplex reflects the firm's specific standards rather than generic legal norms.
Shared agents: custom agents built in Agent Studio are available to the whole team from the moment they are published (see Build Your Own Agent in Agent Studio). New team members should be walked through the agent library in their first session.
Connected SharePoint libraries: the firm's shared document libraries are connected so the whole team accesses contracts and matter files from the same source. Documents remain in SharePoint; Unplex reads and writes to them in place, avoiding version conflicts or duplicated files (see Connecting Cloud Storage).
5. The Champion Model
The fastest path to firm-wide adoption is a single internal champion: a senior associate or legal ops lead who uses Unplex daily, builds the shared agents, and is the first point of contact for colleagues' questions. No formal role is required; visible, consistent productivity with the tool is the operative factor.
The questions colleagues raise in the first two weeks are a useful signal for which reference articles to share with them first.
6. Support
For technical questions, platform issues, or onboarding support, contact support@unplex.ai. Onboarding calls are available on request for teams of five or more.
