Features and Enhancements for The Field

[Sourcing Grid BETA] A better way to process Requisitions into POs - Electrical Orgs ONLY

We kicked off our Beta program for the new Sourcing Grid! This is a better way to process REQs into POs, while viewing vendor pricing and availability. This beta feature is currently only available to Electrical Orgs using Kojo. Please reach out to your CSM if you are interested in trying this beta feature!

Here is a 3-min overview of the new Sourcing Grid

Delivery Emails now include PO# and DLV# in the subject

Delivery emails will now include both the PO number and the DLV number in the subject line of the email. Here is a sample format of how the new subject will appear:

Introducing Purchase Order Approvals

We’re thrilled to announce the launch of Purchase Order Approvals, a new feature designed to enhance your procurement workflow. This feature allows you to set up custom approval processes based on the dollar value of each purchase order (PO), ensuring that significant expenditures receive the necessary oversight from project managers or purchasing agents.

Purchasing teams, especially in enterprise organizations, need structured approval workflows to manage large and complex POs effectively. With Purchase Order Approvals, you can automate these processes, reducing manual effort and ensuring compliance with your budget and policies. This highly-requested feature, addresses a critical need for our customers.

Get Started Today

Purchase Order Approvals is now available to all Kojo customers as part of our procurement product. To enable and configure this feature:

  1. Navigate to Settings/Workflows: Access the procurement section in your Kojo dashboard.

  2. Enable Purchase Order Approvals: Toggle the feature to activate it.

  3. Configure Workflows: Define approval criteria based on PO value and assign roles to approvers.

RFQ/PO Button Update

Improved RFQ/PO Button Experience

At Kojo, we continuously strive to enhance your user experience. We’re excited to announce an important update to the Request for a Quote (RFQ) / Purchase Order (PO) button that makes your workflow smoother and more reliable.

What’s Changed?

Previously, when you hovered over the RFQ/PO button, our system performed several checks to ensure everything was in order before allowing you to proceed. While these validations were essential, they sometimes caused delays, making the button feel unresponsive or “buggy.” This led to moments where the button would gray out unexpectedly, disrupting your workflow.

With our latest update, we’ve refactored the validation process to occur only when you click the button. This change eliminates the lag you experienced during hover, resulting in a much more seamless and intuitive interaction.

  • Faster Interaction: Click the RFQ/PO button without waiting for validations to complete, allowing you to move through your tasks more efficiently.

  • Smoother Workflow: Experience a more responsive interface with fewer interruptions, helping you maintain your productivity without frustration.

MPN Field Visible in Order Acknowledgement Mapping View

When vendors send back order acknowledgements they include fields like MPN (manufacturing part number). In order to make it easier to map items from an order acknowledgement to a purchase order, we now show you the MPN if the vendor included one.

How it works

This will be automatically enabled for all customers on Monday, January 6th.

Features and Enhancements for Accounting System Integrations

Spectrum Change Orders

NOTE: For any purchase orders that were created before the feature was turned on, in order to view the button to sync change orders, you must close and reopen the order.

Previously, in order to make changes to a purchase order that had already been synced to Spectrum, you would have had to edit the purchase order in Kojo and then edit the purchase order in Spectrum. Now you can add and edit line items on previously synced purchase orders in Kojo and sync those changes to Spectrum with the click of a button!

We are so excited for you to use the new Spectrum Change Orders feature of the integration. We’d love your feedback as you use it since you are one of the first Kojo users to try it. Please note some things to keep in mind:

  1. You are unable to delete lines when creating a new change order.

  2. Each change order in Kojo corresponds to a purchase order revision in Spectrum. You will be able to see the history of each change order within Kojo.

  3. You can add new lines or edit line items.

Spectrum General Stock Purchase Orders

Now you can sync General Stock purchase orders from Kojo to Spectrum! This makes it easier for you to manage all of your order types within Kojo and allows you to manage your inventory. Check out our User Guide linked below for additional information:

Spectrum Purchase Orders for Work Orders

We are so excited for you to use the new Spectrum Work Orders feature of the integration. Check out our User Guide linked below to learn more:

Acumatica - Tax Syncing on Purchase Orders

You can now add tax codes to purchase orders that you want to sync to Acumatica!

We import the tax entity from Acumatica and show the taxes in Kojo with the format of “Tax Category - Tax ID.” You can choose which tax code you want to include on your purchase order line items.

If you do not want to sync taxes on your purchase orders, you can leave the tax field blank.

Vista - Lump Sum PO Update

We have added support that takes the multiple line items in Kojo and combines them into 1 line item in Vista.

How it works

To use this feature, you need to link POs from Kojo to Vista by going to Options > Link as Lump Sum instead of the Link to Vista button. This will combine the line items into 1 line item when synced to Vista and update the unit of measure to LS. The line items will link over grouped by the same phase code and cost code combination. So, if you want 1 line item visible on the purchase order in Vista, you must have the same phase codes and cost codes on each line.

Features and Enhancements for Vendors

Sending VPNs on all pdfs and emails to Vendors

In order to provide more robust information to vendors, we have enabled the “Show item VPN” setting for all customers’ emails and pdfs.

When we send VPNs to your vendors, it gives them more information to process your order. This helps make their processes more efficient!

How it works

This will be automatically enabled on Monday, January 6th. There is no action to take. If you would like to change your settings for any reason, you can go to Settings > Admin > Email & PDF Configuration and change edit which fields are included.

Cycle Counting

You can now manage cycle counting your material inventory in Kojo! For more details read our user guide linked below:

Reorder Inventory from the Material Inventory Page

You can now send inventory items to a PO for easy reordering. Just select the items to reorder then click Manage Items and reorder!
