Features and Enhancements for the Office

Email Attachments Are Now Links

What Changed

Instead of attachments being added as actual documents, they are now included as links at the bottom of each email.

To view an attachment, a recipient just has to click each link to download and open the attachment.

Why We Made This Change

We made this change to ensure emails always send from Kojo!

Previously, Kojo would attach your documents to the emails sent from our system.

However, if the size of these attachments were too large for our email provider, SendGrid, an error would occur. Anytime there was an error, the email would not send.

This change will prevent this type of error from ever happening again!

Item Status Page

Previously, customers working in Kojo Office lacked the appropriate visibility into line items to do their jobs effectively - now they don't!

Have they been requested? Delivered? By whom? What vendor is taking care of this?

On our new Item Status page, Project Managers and Purchasing Agents now have a single view where they can easily understand the status of materials!

Order Metadata Preview

Our customers spend a lot of time searching for information in Kojo, including Requisitions, Orders, and Quotes.

Instead of having to switch between multiple screens, you can now work more productively entirely within Kojo! These visibility enhancements allow our customers to identify and diagnose problems faster, take action, and reduce costs faster than ever!

How It Works

Simply click on the blue "i" icon or anywhere within a row on the Orders Page and a slide-out will appear on the right with all kinds of useful information and clickable links!

Discounts Total

Want to see a quick total of all those sweet discounts on your line item(s)?

Now you can - upper-right corner of the PO Line Items tab!

Quantity Assigned Column

Requisitions can get confusing depending on how much material is being requested and whether the Warehouse will fulfill the request, or material needs to be ordered from a Vendor.

To help, we've added a new column for Requisitions in Kojo Office to show "Quantity Assigned"!

And, if you're ever wondering, "Why hasn't that Requisition moved from the 'Unprocessed' to 'Processed' tab?" this column will help you see if all the requested quantity has been assigned to get that Requisition done!

Jobs > Analytics Tab: PO Pop-Up

Hover over a particular material in the Analytics tab of any Job and see clickable links to PO(s) that contain that material!

Features and Enhancements for Integrations

Foundation: Item Number Sync

For our customers that use Foundation's Inventory Module, an item number is assigned to all purchased materials. Now, when a Foundation item number is selected on a Kojo PO, the item's Description plus default Phase Code and Cost Class are automatically populated, and that information is sent back to Foundation!

QuickBooks Online: Invoice Integration

Accounting Teams can now use Kojo's newest feature, Automated Invoice Matching, to save time and money via the golden 3-way match process!

Once complete and invoices are reconciled, invoices can be sent directly into QuickBooks Online!

Vista: Auto-Post PO Batch

At Kojo, we're always working to make things easier, reduce clicks, and add automation.

Previously, once a PO was linked to Vista, a user would need to access Vista and post the batch - now Kojo can do this for you automatically!

Vista: Invoice Integration

Automated Invoice Matching saves our customers time and money, and now, after the 3-way match process has been completed and invoices reconciled, they can now be sent directly into Vista, thereby eliminating manual entry for Accounting Teams into the general ledger + payments!

Vista: Show Kojo PO Title

Sometimes a title can be handy for Project Managers and Accounting Teams to quickly identify what a PO is for in Vista without having to click into it - this feature is now live!

Features and Enhancements for the Warehouse

Delete Warehouse Request

As part of our ongoing work to refine and improve the Kojo Warehouse module, we have now added the ability to delete a Warehouse Requisition entirely!

Check out this handy User Guide on how this feature works: LINK

Internal Orders Use Internal Vendor Address

In support of our Cost Allocation feature in Kojo Warehouse, if an address is added to the "Internal Vendor" (the contractor), Kojo Warehouse will now use that address for Internal Orders!

The "Internal Vendor Contact" will also automatically populate the Field Contact name and phone number.

This is especially helpful for our customers that use ComputerEase and Foundation!

Bulk Upload Limit

Some of our customers have an enormous amount of Warehouse Inventory, and while we do want to get it all in Kojo Warehouse, we also want to keep the platform up and running for everyone!

As a result, we've added a safety limit of 2,500 rows per upload.
