Kojo’s Invoice Matching feature automates the process of 3-way matching (comparing the Invoice to the PO and the Delivery Receipt). Any discrepancies are highlighted so you can send them back to the Vendor for resolution in just a couple of clicks. Read on to learn how to utilize this process in Kojo!
Step 1: Upload the invoice into Kojo.
There are two ways to do this:
1. Navigate to the Invoices Page and select “Upload an Invoice.”
2. Kojo can also automatically read Invoices emailed from a Vendor. Simply ask the vendor to send the invoice to the email address shown on the Invoices list view in Kojo, forward yourself, or setup an automatic forwarding rule to kick off the automated scanning!
Step 2: Kojo automatically scans the Invoice and extracts the relevant information. The scanning process can take a few moments.
Step 3: Once the Invoice is scanned, you can view the PDF to confirm that Kojo extracted the information accurately.
Step 4: Next, you have the opportunity to confirm that Kojo is comparing the correct line items across the Invoice and the PO by “mapping” the items. You can map the items manually, or auto-map.
Step 5: Now, Kojo automatically compares the PO and associated Deliveries to the Invoice, and highlights any discrepancies in quantity or price!
Step 6: If there are issues, select them and click “Send Exceptions to Vendor.” If there are no issues, you can approve the Invoice by selecting “Reconcile and Approve.”
