Setup

  1. Under Admin > Setup > Warehouse

    1. Choose your accounting method:

      1. Last paid

      2. Average

      3. Manual

Inventory Value in the Inventory Page

1. Viewing Inventory Value

Warehouse users and office users can view the inventory value on the inventory page by checking the unit price and extended price per line item. To filter the inventory list, use any of the general stock, job stock, location filters or the search box.

2. Overriding Unit Price

  1. Select the line item you want to update.

  2. Edit the unit price field with the new value.

  3. Save your changes.

    • Note: Manual updates will be overridden by the next system price update.

3. Uploading Line Items

  1. Prepare a spreadsheet file with line items containing the unit price.

  2. In the inventory page, click the "Bulk Upload" button.

  3. Select the file you created and follow the upload process.

  4. The system will calculate and display the extended price for each line item.

Automated Price Updates

1. Updating Price from PO to Inventory Line Items

  1. Create a purchase order (PO) with line items.

  2. Receive the items into the warehouse.

  3. The system saves the price for each line item based on the chosen accounting method.

2. Updating Price from Inventory Line Items to Internal Orders

The system will automatically prepopulate the inventory price on the internal order.

  • Note: Users can manually override the price on internal orders.

Accounting Method Calculations

Note: Pricing cannot be less than zero due to negative quantity amounts.

1. Last Paid Method

  1. Issue a PO with line items and receive them into the warehouse.

  2. The system overwrites the previous unit price with the new "last paid" price and recalculates the extended price.

  3. Moving items in or out of stock via pick, adjustment, or transfer will trigger a recalculation of the extended price based on the new quantity in stock.

2. Average Method

  1. Issue a PO with line items and receive them into the warehouse.

  2. The system adds the extended price of received items to the existing line items' extended price and calculates the unit price by dividing the total extended price by the quantity in stock.

  3. Moving items in or out of stock via pick, adjustment, or transfer will update the inventory's extended price and the line item's extended price accordingly.

3. Manual Method

  1. Prices will not be automatically updated from POs placed within Kojo. Rather, the prices can be manually updated individually or via bulk upload.

Exporting Inventory Pricing for Inventory Valuation

1. Export

  1. Browse to Warehouse > Inventory

  2. If you’d like to export all of your inventory ensure no filters are set or if you’d you like to filter down to a subset of items you can, then click “Export Items”

2. Inventory Valuation and Analytics

You can now upload the spreadsheet exported to quickly calculate your total inventory value.

Use Cases

  1. Automating pricing of invoicing for general stock job costing

  2. Providing total inventory value

  3. Some customers are no longer using their ERP’s inventory module since Kojo provides inventory value.

What it Doesn’t Do

  1. Automatically add items to internal orders. We don’t do this since a customer may or may not want items automatically added to an internal order.
