Kojo has an import/export integration with Foundation for invoices. This allows you to match your invoices to PO's in Kojo and when ready, export a batch of invoices from Kojo and import them into Foundation. This process is completed with Foundation's FSI import tool, which allows documents to be imported into Foundation. There are just a few steps to complete this process:
In Kojo:
Process and approve an invoice
On the main Invoices page, select the checkbox next to the invoice you would like to bring into Foundation (you can select Multiple)
In the options drop-down menu, select "Export"
In the export type, select "CSV for Foundation"
Save the file to your computer.
In the FSI import tool:
Choose Importer Type - "AP Invoice"
Login with your regular Foundation credentials (then click connect)
Select your company from the dropdown
Select the file that was just exported from Kojo.
Click "Preview and Validate"
On your first invoice import, you will need to set defaults. This does not have to be done for every import. Only your first import.
All GL Codes on the right side need to be populated. (sample data below)
Terms - optional
Expense GL - required
Voucher Type - (required) Set to "R"
Payment type - Leave Blank
Lein Waver Flag - optional
Divisions - optional
Job - Leave blank - This will be populated from Kojo
Phase - If using phases, leave blank. However, if you have the "1-No Phase" option select this option
Cost Code - leave blank - This will be populated from Kojo
Cost Class - "2-Materials"
Once data loads, you can click the "Validate button on the bottom right of the FSI import tool.
Once validated, you can click "Import" in the bottom right of the FSI import tool to complete the import into Foundation.
The below video is a quick walk-through of the invoice process with Foundation.
Invoices are imported as unposted. Once in Foundation, the invoices will need to be posted (if auto posting has not been enabled.). To post an invoice or batch of invoices, go to Accounts Payable -> Enter Invoices -> Record -> List. Select your transaction number or range, and select the list tab. From here, you can click the Save icon to post all invoices in the report.
