Invoice Matching Approvals User Guide

We are excited to show you how to utilize our invoice matching approvals feature! Please read through the steps in the sections below to learn how to utilize this feature in Kojo.

Set Up

To start, Users will need to be granted the “Manage Invoices” permission within their User permissions. Please note, this permission is only available to the Back Office and Procurement roles.

To access and turn on this permission, please navigate to the Users section of your Admin Settings. Then use the blue options menu to the right of the person's name you would like to grant this permission to, and click "Modify Permissions".

From there, you will see the option to turn this permission on if this User has a Back Office or Procurement role in Kojo.

Anyone who has this permission enabled will have access to the Invoice Matching module in its entirety, and will be able to assign reviewers to approve an invoice.

You will then need to reach out to either your CSM or to Kojo's Support Team to finish getting this feature enabled!

Assigning a Reviewer to an Invoice

You can only assign a reviewer once the invoice details are saved. We still surface the ‘Assign Reviewer’ option in the Invoice Matching Inbox, but it will be grayed out until those invoice details are saved:

You can assign single invoices or multiple invoices to a reviewer. Please note, you currently cannot assign invoices to multiple reviewers.

When a reviewer has been assigned, the reviewer will be notified via email. Kojo autopopulates the subject line, but the assigner can edit that subject line. You can also leave a message that will appear in the new notes section on the invoice page.

Approving and Rejecting Invoices

When an assignee reviews an invoice, they can select ‘Approved’ or ‘Rejected’ and also leave a note should they choose

Reviewing Approved Invoices

Once an invoice is approved by the reviewer, it will move to the ‘Reviewed’ tab. At this point, you are now back at the Invoice Matching reconciliation workflow, where you can mark as Approved, and send the invoice to the ‘Approved’ tab. At that point, an invoice is ready to be linked to your accounting software.

Note that invoices DO NOT have to go through this extra approval layer. You could choose to not assign a reviewer, and even if a reviewer does get assigned, you could override that review process and move an invoice to ‘Approved’, which would then be automatically reflected as ‘Reviewed’ for the assigned reviewer as well.
