Placeholders

Placeholders are a simple way to mark a user’s time in the Team Schedule when no specific event is assigned. They can represent things like vacation, sick leave, training, or other non-event time periods.

Placeholders always appear in grey on the Team Schedule and can exist alongside assigned events. You can even have multiple placeholders active for the same user at once.


Permissions

Permissions determine who can manage placeholders:

  • Admin: Can create/edit/delete placeholders for all users.

  • Standard: Can create/edit/delete placeholders for all users.

  • Restricted: Can create/edit/delete placeholders only for themselves.

Adding a Placeholder

To add a placeholder on the Team Schedule page:

  1. Click the + Add button.

  2. Select Add placeholder from the menu.

  3. A drawer will open where you can enter the placeholder details.

Required Fields

  • User: Select the person or connected company the placeholder applies to.

  • Description: Add a short note (up to 40 characters) — for example, “Vacation” or “Training.”

  • Start date and End date: Choose when the placeholder begins and ends.

    • Start date cannot be after the end date.

    • Time is optional; if not specified, it will default to the full day.

  • Timezone

Once filled in, click Save or Save & Add Another.


Viewing Placeholders

After saving, the placeholder will appear immediately on the Team Schedule.

You can view placeholders alongside scheduled events — they don’t block or replace them.

Editing a Placeholder

To make changes:

  1. Click on the placeholder you want to edit.

  2. The details drawer will open.

  3. Update any field directly — changes are saved immediately.


Moving a Placeholder (Drag & Drop)

You can adjust placeholders by dragging and dropping them directly on the schedule.

You can drag to:

  • Assign it to another user.

  • Change the start or end date.

  • Adjust the time or duration.


Deleting a Placeholder

To delete:

  1. Click on the placeholder to open its drawer.

  2. Select the three-dot menu (⋯).

  3. Choose Delete and confirm.
