Adding access instructions to an asset

How to add access instructions, phone, and other site details that field teams need.

Access instructions tell your field team how to get on site: entry codes, loading dock directions, who to ask for, parking details, or anything else they need before arriving. You can add them to a fixed asset or to the address linked to the asset.

Where to add access instructions

There are two places where access instructions live:

  • On the address: open the address drawer and fill in the Access instructions field. These instructions apply to any new event that uses this address.

  • On the asset: open the asset drawer and fill in the Access instructions field on the Info tab. These instructions appear alongside the asset details.

Access instructions on events

When an event is linked to an asset or address, the access instructions are pre-filled on the event. Your field team sees them on the event drawer without needing to open the asset or address separately.

Access instructions can be edited on the event itself. Changing them on the event does not update the asset or address. Similarly, changing them on the address after an event is created does not update that event. Each event keeps its own copy.

Phone number

Both assets and addresses have a Phone field. Use it for a site contact number your team can call on arrival. The phone number is shown on the event drawer alongside the location details.

Keep access instructions short and practical. Your field team reads them on a phone screen, often while standing outside the site.

FAQ

If I update access instructions on the address, do existing events update?

No. Changes to access instructions on the address only apply to new events created after the change. Existing events keep the instructions they had when the address was linked.
