Vendor onboarding form

How to build a vendor onboarding form in Workspace settings.

In Workspace settings, you can create an onboarding form that is automatically sent to every new vendor you invite.

Setting up the onboarding form

  1. Go to Workspace settings via the gear icon at the bottom of the left sidebar.

  2. Click Vendors, then Vendor onboarding.

  3. Click + Add question to start building your form.

  4. For each question, choose a type, enter the question text, and set whether it is required.

  5. Click Save when finished.

If you update the form after vendors have already been invited, any vendor who has not yet submitted will see the updated version. Vendors who already submitted are not affected.

Question types

Text

A single line. For short answers like a registration number or contact name.

Text area

A larger text box. For longer descriptions or details.

Checkbox

A yes/no confirmation. For declarations or acknowledgements.

Date

A date picker. For expiry dates on insurance or certifications.

Single-select

A list where the vendor picks one option.

Multi-select

A list where the vendor can pick multiple options.

Signature

Captures a signature to confirm the vendor has read and agreed to something.

How vendors receive and complete the form

When a new vendor accepts your invitation and creates their workspace, they are prompted to complete your onboarding form.

They can do this from the dashboard or from the mobile app. Once submitted, neither you nor the vendor can edit their answers unless you reset their status back to New.

Only new vendors are required to complete the onboarding form. Existing vendors you were already connected to before the feature was enabled are automatically set to Approved.

Updating the onboarding form

You can edit the form at any time. Vendors who have not yet submitted will see the updated version. Vendors who have already submitted are not affected; their answers stay as they were.

FAQ

Can I send the onboarding form to an existing vendor?

Not automatically. The form is only sent to newly invited vendors. To ask an existing vendor to complete it, change their status back to New from their profile. They will be prompted to fill in the current version of the form.

Can I have different onboarding forms for different vendors?

No. There is one onboarding form per workspace, and it is sent to all new vendors.

Can I edit a vendor's answers after they submit?

Yes. As the parent company, you can edit answers on the Vendor onboarding tab of the vendor's profile. The vendor will see the updated answers on their side.
