1. Start with the status filter (most important)
Use the pills at the top of Products to see where the listing sits:
Filter on Products | Internal status | What it means for visibility |
Approved |
| The piece has passed curation and is in the live pipeline on the platform side. If it still looks wrong on the public site, skip to sync delay / stock below. |
Pending |
| Submitted and waiting for the curation team—not buyer-visible yet. |
Need Review |
| Not the same as “first-time pending”: the listing needs your updates or a re-review after feedback or a critical edit on a previously approved product. It is not fully live until resolved. |
Draft |
| Not in the review queue for publication—work in progress or imported items you have not finished / submitted. |
Rejected |
| Not accepted as submitted; use any feedback you received and contact vendors@oblist.com if the reason is unclear. |
Tip: the UI label Need Review maps to changes requested (NEEDS_CHANGES). First-time submissions waiting on the team are under Pending (PENDING).
2. You never clicked Send for review
New manual products: use Send for review when the form is complete. Save as draft alone keeps the product in Draft.
Editing a draft: you still need Send for review when you are ready for the queue.
Imported / linked catalog items often arrive as Draft until you complete required fields and submit.
3. Incomplete or weak listing data (stuck in review or bounced)
The team may hold or return a product if mandatory information is missing or below bar (photos, dimensions, description, category, etc.). Open the product from Products, read any feedback or status hints on the edit screen, fix the fields, then save and use Send for review again if you are in Draft or Need Review.
4. Holiday Mode (Pause)
If Holiday Mode is active with Pause, the Products page shows a banner that your products are set to DRAFT on Shopify and cannot be ordered until the end date (or until you end the mode early). That can look like “not online” even when your dashboard status is otherwise fine. See Account → Holiday Mode.
5. Approved but looks “off” on the site
Stock and sold-out behaviour
If the listing is Approved but shows as sold out or unavailable, check inventory (fixed stock vs made-to-order, quantities, Allow purchase when out of stock). See the dedicated article on sold-out behaviour in your help center.
Operational vs critical edits
Many logistics fields can update without a full re-review, but critical edits (title, description, images/video, category, condition, and price unless your product is on manual price control) can send an Approved listing back to Need Review until curation signs off again.
6. When to contact The Oblist
Write vendors@oblist.com with:
Product name and internal / edit URL if you have it
What you see under Approved / Pending / Need Review / Draft
Roughly when you submitted or last saved
If a product has stayed Pending much longer than you were told to expect for your onboarding wave, ask for a queue check rather than waiting indefinitely.
