Adding tracking numbers and shipping outside the integrated service

On https://pro.oblist.com, when you fulfil with your own carrier (instead of—or after cancelling—integrated shipping), you record it with Add tracking on the order page.

1. When to ship manually

Typical reasons:

  • No suitable integrated quote, or you already have a better contract with a carrier.

  • You used integrated quotes only for comparison, then chose Cancel quote & ship manually (wording on the shipping section).

  • Urgent replacement shipment or split fulfilment your own ops handles faster.

The integrated shipping panel often reminds you that shipping amounts may still be part of the order economics—read the on-screen note for your specific order before you decide.


2. How to add tracking

  1. Open the order from Orders.

  2. When there are unfulfilled product lines, click Add tracking.

  3. In the modal: choose carrier (searchable list), enter tracking number, and choose which lines the number applies to (or apply to all when offered).

  4. Submit; the page reloads order data on success.

You can append additional numbers per line (“+ add another tracking number”) when you ship in several boxes.


3. Warnings and frequent mistakes

  • Conflict with integrated shipping: if an active integrated shipment exists, the modal warns that adding manual tracking may cause conflicts. Resolve the integrated booking first unless support has told you otherwise.

  • Changing an existing number: the modal can block edits to certain existing trackings and tell you to contact customer support so the buyer is notified correctly—do not assume silent overwrites.

  • Wrong line selected: double-check which SKUs received which tracking when you partially ship.

  • Missing carrier: pick the closest match from the list; wrong carriers can produce weak tracking links.


4. When does the buyer see tracking?

After a successful save, the vendor page updates immediately on refresh. Buyer-facing emails and the customer order page follow the normal store / platform update cycle—usually shortly after your save, but not instantaneously in every case. If a buyer says they still see nothing after a reasonable delay, use Refresh Tracking and then contact vendors@oblist.com with the order number.
