The Shipping card on the order is the source of truth for what happens next. Shipping is calculated per seller or shipment group, so the amount for your piece can differ from the whole cart or from a carrier quote obtained later.
First: is the order B2C or Trade/B2B?
B2C consumer order — the order may qualify for free shipping or use a paid checkout rate.
Trade/B2B order — consumer free-shipping thresholds do not apply. The verified carrier price or an approved custom quote is used.
Do not infer the order type from the word “professional” or from the product. The order record and Shipping card determine the applicable flow.
Why does my order show free shipping?
Free shipping is a checkout result, not a switch that sellers turn on or off.
For a B2C seller group to qualify, checkout verifies:
the cart reaches the destination threshold;
the shipping lane is eligible;
the group is not furniture; and
every piece remains below 15 kg effective weight, using the greater of actual and volumetric packed weight.
Current consumer thresholds are:
eligible European destinations: €350
United Kingdom: €450
Switzerland: €500
United States and Canada: €650
United Arab Emirates and Singapore: €1,100
Australia: €1,200
A mixed cart can contain both free and paid shipping groups. The checkout result for your own seller group is the relevant one.
When free shipping applies, the buyer paid zero shipping for that group. The vendor remains responsible for fulfilment:
if the Shipping card offers an Oblist prepaid label, its verified cost is deducted from your payout;
if you choose your own carrier, you pay that carrier and add valid tracking when the parcel leaves;
if another integrated option is offered, read the exact cost and payout wording on the Shipping card before confirming.
Free shipping does not create a separate shipping reimbursement. Fulfil the order using one of the methods currently available in the Shipping card.
What if the buyer paid shipping?
The Shipping card can show the shipping budget attributed to your seller group.
Own carrier — the verified budget normally remains in your payout; use it toward your carrier cost and add tracking.
Oblist prepaid label — The Oblist can retain the collected budget to pay for the label.
Managed or split transport — the card states whether the buyer, vendor or The Oblist funds each portion.
The amount collected at checkout is not necessarily the final carrier cost. The actual packed dimensions, weight, carrier, service level, destination, currency and later surcharges can produce a higher or lower quote. Never ask the buyer for a difference directly.
What if the order says Shipping Quote Required?
When checkout could not verify a firm price:
Open the order’s Shipping card.
Submit your normal shipping price and carrier details if requested.
Wait for The Oblist and the buyer to confirm or pay the shipping.
For a made-to-order piece, do not start production while the order is explicitly waiting for shipping confirmation.
Continue from the main product order. A separate “Shipping Quote Order” is a payment record and must not be fulfilled like a physical product.
If your price was already submitted, do not submit it repeatedly. Wait for the current status or contact the team from the same conversation.
Why can the Shipping card differ from my own quote?
Common verified reasons include:
checkout used a fixed grid, live carrier rate or historical firm rate;
the order contains several seller groups and shipping was allocated between them;
the buyer selected a different service level;
packed dimensions or volumetric weight differ from the original product data;
the order is in another currency;
a custom quote or shipping payment was added later.
For an order-specific explanation, share the order number. Fin can read the verified checkout provenance, seller budget, B2B/B2C status, label, booking, quote, tracking and payout state. You should not have to repeat information already visible in the order.
Labels, pickup and tracking
Never create a second label or booking while one is active or under review.
If an integrated label exists, use its current status and tracking.
If you chose your own carrier, no Oblist label is generated; add your own tracking.
A booking awaiting Logistics review should remain in the same conversation.
How to avoid future shipping shortfalls
keep packed dimensions, weight, category and shipping origin accurate;
account for likely free-shipping costs when setting product and market prices;
use market-specific pricing where appropriate;
for heavy pieces, agree any planned shipping contribution with The Oblist before changing the market price.
When a human must review the order
Continue in the current Vendor Dashboard chat when:
the verified B2B/B2C policy conflicts with the checkout result;
a label or booking is under Logistics review;
verified payout or invoice data conflicts with the order;
the live order source is unavailable.
Include the order number. Do not open a duplicate request.
