Who is Vic.ai?

Vic.ai is a Bill Pay platform your customer is using to disburse payment of their invoices. Vic’s payment solution enables AP teams to pay all supplier invoices in a single automated workflow. You can learn more about at our website: www.vic.ai.


Why am I being contacted by Vic.ai?

Vic.ai is contacting you on behalf of your customer that is now using Vic.ai to pay vendors like yourself. In order to get paid electronically, please follow the link in your invitation email to set up your vendor payment account.


How do I obtain a copy of the tax exempt certificate for my payment?

If you require a copy of a tax-exempt certificate, please reach out to your customer directly--Vic.ai does not have access to our customers' internal documents or supplier records. We provide your customer's contact details on each electronic payment advice, as well as the payment reference number. Please share this number with your customer to help them locate the payment in question.


What type of payments can I receive through Vic.ai?

You can choose to be paid by check, virtual card, or direct deposit (ACH).


When can I expect to receive payments with Vic.ai?

Vic.ai initiates payments to you within one business day from the time they are approved by your customer.

  • ACH: Within 2-4 business days

  • Virtual card: Immediately

  • Check: The estimated time of arrival is 4-7 bank days. All checks are mailed via USPS First Class


Can I contact my customers about open or past due invoices using Vic.ai?

You can track your invoices in Vic.ai to see if they are received, approved, and paid. If you have further questions, reach out directly to the customer's accounts payable department.


Where do I send my invoices with this new process?

Please continue to send all invoices directly to your customer's accounts payable department. Even though you will receive the payment via Vic.ai, the invoice numbers and amounts will be submitted and approved by your customer. Vic.ai does not retain invoices and is unable to submit or forward them on your behalf.


Are there any fees associated with ACH, card, or check payments?

There are no fees associated with receiving payments. If you choose virtual card, the credit card payment processor may charge you a fee, but there are no fees from Vic.ai.


What information is required to set up my account for payment processing?

During onboarding, you will need to provide business details such as legal business name, tax identification, contact information such as address, email and phone. You will also provide payment account information if you are choosing ACH payment.


What happens if I do not sign up for Vic.ai?

You will receive paper checks from your customers using Vic.ai as a payment provider.


Can I receive payments through multiple payments methods?

You can only select a single payment method.


How can I track payment status? Do you provide an online portal or notifications?

You can access your payment portal at [link] anytime to view the status of invoices and payment status.


Do you support international payments?

Today, only domestic transactions are supported within the continental United States. However, we are looking to expand to international payments in the future.


How can I update my bank account details or contact information?

After you set up your account, if you need to update your contact information or bank account details, you can do so from your Vendor Portal.


In the case of a dispute or payment issue, who do I contact and what is the process for resolution?
