What to Do If a Traveler Doesn't Show Up

If a traveler doesn't arrive on their scheduled check-in date and hasn't contacted you about a delay, don't assume the reservation has been canceled.

Travel delays, changing work schedules, and unexpected circumstances can sometimes cause a traveler to arrive later than planned.

Follow these steps to document the situation and allow Vidle Housing Support to review the reservation.

Send the traveler a message through the Vidle Housing messaging system to check on their status.

You may say:

"Hi [Traveler Name], I wanted to check in since today is your scheduled arrival date. Please let me know if your plans have changed or if you're experiencing any delays. I'm happy to help if you have any questions about accessing the property."

Keep all important communication on Vidle Housing so there's a clear record connected to the reservation.

Step 2: Document Your Outreach

Keep a record of:

  • The traveler's scheduled check-in date and time.

  • When you attempted to contact them.

  • Any messages sent.

  • Any responses received.

  • Whether there were previous indications of a delayed arrival or change in plans.

If Vidle Housing Support needs to review the reservation, this documentation may help determine the appropriate next steps.

Step 3: Keep the Property Available for 24 Hours

If the traveler hasn't arrived or responded, continue holding the property for at least 24 hours after the scheduled check-in.

The reservation remains active unless:

  • The traveler cancels.

  • The host and traveler agree to a change that is confirmed through Vidle Housing.

  • Vidle Housing confirms that the reservation has been canceled or otherwise modified.

Do not reopen the dates, accept another reservation for the same period, or assume the property is available again without confirmation.

Step 4: Allow Time for Traveler Communication

Travelers may experience:

  • Flight delays or cancellations.

  • Long-distance travel delays.

  • Changes to their healthcare assignment.

  • Work schedule changes.

  • Personal emergencies.

  • Delayed communication while traveling.

If the traveler contacts you with a delayed arrival time, continue communicating through Vidle Housing and make sure they have the information needed to access the property.

Step 5: Contact Vidle Housing Support After 24 Hours

If you haven't heard from the traveler within 24 hours of their scheduled check-in, contact Vidle Housing Support.

Provide:

  • Your account email.

  • Traveler name.

  • Reservation details.

  • Scheduled check-in date and time.

  • Times you attempted to contact the traveler.

  • Any relevant messages or documentation.

Our Support Team will review the reservation and determine the appropriate next steps.

What Happens to My Payout?

Host payouts are normally held until at least 24 hours after the traveler's scheduled check-in as part of Vidle Housing's fraud-prevention and traveler-protection process.

If a traveler doesn't arrive, payout eligibility may depend on the circumstances of the reservation, including:

  • The reservation status.

  • Whether payment was successfully completed.

  • Any communication from the traveler.

  • The applicable cancellation policy.

  • The circumstances surrounding the no-show.

Contact Vidle Housing Support after the 24-hour period so our team can review your payout eligibility.

Do not assume that a no-show automatically guarantees or cancels a payout.

Important: Don't Cancel the Reservation Yourself

If the traveler hasn't arrived, don't cancel the reservation or reopen the dates without first contacting Vidle Housing Support.

Canceling or modifying the reservation prematurely could affect:

  • Payout eligibility.

  • Cancellation policy review.

  • Traveler rights.

  • Availability for the remaining reservation dates.

Wait for confirmation from Support before making changes.

If the Traveler Arrives Late

If the traveler arrives after their scheduled check-in date but the reservation remains active, provide access according to the confirmed reservation and your check-in instructions.

If there are concerns about the reservation status, payment, or access, contact Vidle Housing Support before taking further action.

Quick No-Show Checklist

If a traveler doesn't arrive:

  • Message the traveler through Vidle Housing.

  • Document the date and time of your outreach.

  • Keep the property available for at least 24 hours.

  • Don't cancel or reopen the dates.

  • Contact Vidle Housing Support if there's no response after 24 hours.

  • Allow Support to review the reservation and payout eligibility.

A missed check-in doesn't automatically mean a reservation has been canceled. Keeping communication documented and contacting Support after 24 hours helps ensure the situation is handled correctly.
