Notification Configurations
This tool allows you to set up notifications for yourself (VineConnect Admin) or whomever will be monitoring the Admin portal. This feature will alert whomever you add to the following:
Feedback from the ‘My Team’ section of the Client Portal.
Contact Information updated from the Vitals on the front-end by your Client.
SMS Response from Phase Change SMS, Review Request SMS, Mass SMS, or Verification Code SMS.
Team Message Response from the #clientporatl from the Filevine Activity section.
Workflow Executed Successfully that has been mapped and activated.
Unsuccessful Logins from your Clients that exceed two attempts.
Review Request response meeting the threshold you set.
Document Uploaded from the Client Portal.
Form Submitted by a Client.
You will toggle the notification you prefer, either via email which are those inserted into the notification area or via the Activity section in Filevine (to the associated projects):
Next you will see a space to insert email addresses that you want to receive those Admin Email notifications. When you insert an email address you will select Add which will confirm this person has been added to notifications within the portal:
To remove an individual from notifications you will select the red ‘x’ next to their email address:
Email Delivery Settings
Our Email Delivery Settings allows you to control how VineConnect's automated outbound emails and replies from your clients are handled by our app and Filevine.
Default Settings: Sender's Email and the From Name will be the Tenant Admin's email address and the Law Firm Name as set in Client Portal Display Settings page. You can overwrite both of these values in this section.
Choosing to route any email replies to more than one Reply-To address will override the single Reply-Top email setting. You can route all email replies to up to five (5) Reply-To email addresses, which can be independent of your Admin Notification email addresses.
Posting outbound emails and inbound email replies to Filevine will push the emails correctly formatted so they appear as an email on the Filevine Project Activity Feed.
SMS Delivery Settings
This tool allows you to determine which numbers are receiving the Verification Code SMS, Phase Change SMS, and Review Request SMS.
When you checkmark this option, you will see the default setting under Select a New SMS Delivery Method will be The 1st number listed receives the message:
This setting means that when a client gets any SMS from VineConnect it will automatically go to the first number listed on the contact card:
The other option under Select a New SMS Delivery Method is the ability to Broadcast to numbers that have certain labels within Filevine:
This will directly correlate to the labels available to you within the Contact Card:
By selecting these labels you can ensure the correct SMS number(s) are being used for any VineConnect SMS tool. If you instead prefer your client to indicate the number they want used for SMS you can set that with the option to Always send to number submitted by user which will accomplish this.
NOTE: This will supersede any labels you have selected.
Posting SMS Messages to Filevine
This section allows you to dictate to VineConnect how you would like all Outbound and Inbounds SMS messages posted to Filevine for each SMS service line we use. You'll have three (3) minimum required settings:
Enable SMS Line: Toggle ON/OFF listening for outbound and inbound messages on each of the SMS services
Set Response Message: Set a specific message to reply with each time a reply from your client is received (supports variables!)
Set Preference for Posting Messages to Filevine: This sequential ordering system allows you to set a preference for where in Filevine you want VineConnect to post your SMS messages
The first two sections are self-explanatory: toggle ON/OFF both the Outbound Messages and Inbound Messages for all SMS Service Lines. Outbound means any SMS messages sent from VineConnect to any SMS-capable line. Inbound means any reply received from said outbound SMS message.
Our 5 SMS Service Lines are:
Phase Change SMS [610-753-4805]: The line that handles all outbound/inbound Phase Change SMS messages
Review Request SMS [610-634-8376]: The line that handles all messages related to our Review Request feature
Mass SMS Campaigns [610-756-9584]: The line that handles all messages for the Mass Text/SMS feature
Automated Workflow SMS [610-831-4034]: The line that handles all messages related to the AW Action "Send SMS Message" in Automated Workflows
2FA SMS [610-621-5160]: The line that handles the sending of the 2FA message for Client Portal login attempts
Set Custom SMS Replies
For each SMS service line, you can opt to customize the automatic reply VineConnect sends when it receives an initial reply for your SMS message recipient. If you leave these blank, the default message is sent.
Set Order of Operations for Posting to Filevine
This section allows you to customize how you want all messages to post to Filevine. Our system will following your preferences as an order of operations (meaning if the first preference fails, the second preference will be attempted, followed by the third.)
If you choose to Send to Project SMS Number, you'll need to have the Project SMS number enabled on the project and set as a Project Type template vital.
To set the Project SMS number as a Vital, go to Advanced -> Customs Editor -> Select your Project Type Template -> Vitals. Simply add a vital and choose the "Project SMS". This makes the SMS number visible to VineConnect.
To ensure Send to Mailroom preference works properly, please supply your Org's Default Mailroom number in our settings. You can retrieve this from Advanced -> Org Phone Numbers and set at least one (1) default Org phone number. To ensure delivery to and from Filevine to your clients, please ensure your Org is registered with Filevine's system. If you're not registered, you'll receive a notice bar at the top of that page to register.
All messages will post to Filevine as SMS with a specific naming convention:
{messageBody} [From {number} ({name}) on {serviceLine}]

Any replies sent from Filevine on any message will be delivered to the recipient through VineConnect, and so too will subsequent replies.
