You can manage your workforce directly from your Company Dashboard, including adding new employees, removing employees, and updating your team throughout the year.

Employee Management Timeline

Before Open Enrollment or Coverage Start Date

Before your company’s coverage start date, our team will ask you to submit or upload a complete census file to your dashboard.

This ensures that all eligible employees are included and ready for enrollment when open enrollment begins.

During Open Enrollment

All employees uploaded to the dashboard will automatically receive communications to:

  • Enroll in a benefit, or

  • Waive coverage

These communications are sent via email and text message and guide employees through the enrollment process.

Coverage Start Date

Once an employee selects a benefit during enrollment, they will be able to begin using their coverage on your company’s start date.

Adding a New Employee

You can add employees to your dashboard individually or upload a full census file.

Option 1: Add Employees Individually

  1. Log in to your Company Dashboard.

  2. On the left-hand side menu, click Workforce.

  3. Select the Employee tab.

  4. Click Add Employee.

  5. Enter the employee’s required information.

  6. Click Submit to save the profile.

Option 2: Upload a Census File

If you need to add multiple employees at once, you can upload a census file.

  1. Log in to your Company Dashboard.

  2. Click Workforce on the left-hand side menu.

  3. Select the Employee tab.

  4. Choose the option to Upload Census File.

  5. Upload your completed census spreadsheet.

This option allows you to add multiple employees at once instead of entering employees individually.

Important Census Upload Notes

When uploading a census file, please ensure the file includes your complete employee roster.

  • Anyone not included in the census file will not be added to the system.

  • If you upload a census mid-year, our system will treat the census file as the source of truth.

This means:

  • Employees not listed in the updated census but currently in the system will be removed.

For this reason, we recommend always uploading a complete and accurate roster of all employees when submitting a census.

Adding New Hires Outside of Open Enrollment

New hires or reactivated employees can still be added directly in your dashboard.

Important things to know:

  • New hires will not immediately receive an eligible status.

  • Employees must first meet your company’s policy requirements (such as waiting periods or eligibility rules).

  • Please allow up to 24 hours for changes to sync in the system after adding or updating an employee.

Once eligibility requirements are met:

  • The employee will receive enrollment communications.

  • They will have 14 days to enroll in a plan.

How to Remove an Employee

If an employee leaves your company, you can remove them directly from your dashboard.

Steps to Remove an Employee

  1. Log in to your Company Dashboard.

  2. Click Workforce on the left-hand side menu.

  3. Select the Employee tab.

  4. Search for the employee using their name or email.

  5. Click on the employee’s profile.

  6. Select Terminate or Remove Employee.

  7. Confirm the termination date and submit the change.

Coverage will follow your company’s termination and policy rules.

Missed Enrollment Periods

If an employee misses their enrollment window, they will need to wait until one of the following occurs:

  • The next company open enrollment period, or

  • They experience a Qualifying Life Event (QLE)

Examples of Qualifying Life Events may include marriage, birth of a child, or loss of other coverage.

Important Notes

  • Employee email addresses and phone numbers must be unique and cannot be shared across profiles.

  • Please allow up to 24 hours for system updates to reflect after changes are made.

  • Eligibility is determined based on your company’s benefit policy settings.
