The Crew Ranks settings page allows users to accurately reflect the crew structure on board, as well as amend and set system user permissions/limits within the platform.
View, add and amend Crew Ranks
View or edit the user limits – individual system limits can be set for all transactions. When a user adds a transaction above their limit, it will go for approval to either the head of the Department, Captain or Administrator. Depending on system limits, it may go to multiple users for review and approval.

Deactivate an existing Crew Rank
Rank - The list of existing Crew Ranks on the platform – double click to amend
Is Captain? - Is their rank at Captain level
Department - What department does the rank report to
Is Head of Dept? - Are they a Head of Department
Limits - Click the two cogs to view/amend Crew Rank limits – see the next page for more information
Permissions - Click the two cogs to view/amend Crew Rank permissions
Active - Crew Rank active status. Double-click the relevant ‘Y’ or ‘N’ to change the active status
Crew Limits
Any transaction (invoice, purchase, request) that crew users will be adding onto the platform that is above their limit will go to approval. Limits can be seen by clicking the 2 cogs icon under ‘Limits’, as highlighted below.
Depending on your permissions, you will either be able to view or amend these limits.
1)The user limit when submitting an invoice
2)The user limit when submitting a non-Voly card or cash transaction
3)The user limit when submitting a purchase request
4)The user limit for approving other user's transactions (if applicable)
When the value is set to ‘0.00’, every transaction entered by the selected user will go for approval
When the value is set to ‘None’, the selected user will have no limits for this transaction type and no transactions will require approval
Crew Permissions
The permissions within the Voly platform can be tailored down to a granular level of detail. To access user permissions, click the 2 cogs icon under ‘Permissions’, as highlighted below.
Depending on your permissions, you may be able to view or amend these permissions.
You can apply View, Add or Edit permissions to each setting.
You have the ability to select from either Yes, No or All. In order to understand what changing each option will do, hover over the drop-down box and a pop-up will appear.
When ‘All’ is available and selected, the user will be able to see all accounts and transactions across the entire vessel, regardless of department.
Default Permissions
There are 3 types of access on Voly: administrator, captain and crew. Users will be allocated access with a default set of permissions when they are added to the platform. However, their access can be customised if required.
Administrator Default View
Admins have access to all transactions and pages by default
Captain Default View
By default, Captains see all invoices saved on the Invoices page, and all bank, card and cash accounts on the Banking page.
Captains have access to the Budgets and Reports pages.
Crew Default View
By default, crew members only see invoices that they have added themselves and invoices that have been tagged within their own department.
In Banking, they can see their own card and cash accounts.
Crew do not have access to Budgets or Reports by default.
